Position Overview
We are seeking a Surgery Scheduler to join our ENT and Head & Neck Surgery team. This position plays a critical role in coordinating and scheduling surgical procedures, ensuring accuracy, clear communication, and an exceptional patient experience. The ideal candidate is detail-oriented, organized, and able to manage multiple tasks in a fast-paced specialty practice environment.
Key Responsibilities
Surgery Scheduling
- Coordinate and schedule all surgical procedures for three providers
- Confirm surgery details with patients, providers, and surgical facilities
- Ensure proper insurance prior-authorizations and pre-certifications are obtained
- Provide patients with pre-operative instructions and required paperwork
- Schedule pre-op and post-op appointments
Patient Communication & Coordination
- Serve as the patient’s primary point of contact for scheduled procedures and post-op / follow-up appointments
- Answer patient questions regarding procedure prep, location, and timing
- Communicate surgery details clearly to ensure patients feel informed and supported
- Provide Good Faith Estimate information to patient and collect any outstanding deductibles and copay/coinsurance in advance of procedure
Insurance & Documentation
- Verify insurance coverage, benefits and obtain prior authorizations
- Accurately enter and update surgical information in PHNS EHR (Epic) and the facility system (Health Nautica, iQueue, SIS)
- Maintain compliance with HIPAA and all regulatory requirements
Qualifications
- High school diploma or equivalent required; Associate’s degree preferred
- Minimum 1–2 years of experience in medical scheduling or a similar role (surgery scheduling experience preferred)
- Familiarity with ENT or surgical specialty practice a plus
- Strong understanding of insurance authorizations and referral processes
- Proficiency in EHR systems and scheduling software
- Excellent organizational, communication, and multitasking skills
Preferred Skills
- Previous experience with ENT or surgical coordination
- Strong problem-solving and patient communication skills
- Ability to work collaboratively with providers, staff, and hospital personnel
- Knowledge of pre-authorization and insurance requirements for outpatient and hospital-based surgeries
Schedule: Monday–Thursday 8:00 AM – 5:00pm, Friday 9:00am-3:00pm
Pay Starts at: $18.50-$20 per hour (based on experience)
