Position Summary
As our Receptionist / Front Desk Coordinator, you will serve as the primary point of contact for our busy office. You’ll interact daily with property owners, tenants, prospective buyers, vendors, and visitors—delivering outstanding customer service while keeping our day-to-day administrative operations running seamlessly.
Key Responsibilities
- First Impressions: Warmly greet tenants, clients, property owners, vendors, and visitors, maintaining a polished and professional front-desk environment.
- Communication Hub: Answer, screen, and direct high-volume phone calls and emails; handle general inquiries and direct clients to the appropriate team member.
- Scheduling & Logistics: Assist with scheduling appointments, property showings, meetings, and inspections; receive and route incoming mail, packages, keys, and deliveries.
- Property Management Support: Coordinate day-to-day communication with maintenance vendors, contractors, residents, and property owners; assist leasing and management teams with core administrative tasks.
- Service & Confidentiality: Provide attentive support to tenants with care, handle sensitive property and client records professionally, and perform ad-hoc office duties as assigned.
Qualifications
- High School diploma or GED equivalent.
- Bilingual (English/Spanish) is highly preferred.
- Strong interpersonal and customer service skills with a positive, solutions-oriented mindset.
- Solid organizational abilities, attention to detail, and comfort multitasking in an active office.
- Familiarity with basic office software, multi-line phone systems, and general business correspondence.
