Job Description
We are looking for an experienced and dependable Administrative Assistant to support daily office operations and provide high-quality coordination across multiple teams. This long-term contract position is covering for a maternity leave but may turn into a full-time role in Q1, 2027. We are looking for someone who is organized, resourceful, and comfortable handling a wide range of administrative tasks with professionalism and discretion. The role offers the opportunity to contribute to reporting, scheduling, office support, and team coordination in a fast-paced, in-person environment.
Responsibilities:
• Oversee day-to-day front office support, including handling incoming mail, distributing deliveries, and coordinating shipping and package receipt.
• Partner with internal teams to help organize ongoing assignments, track deliverables, and provide administrative support for project-related activities.
• Create, revise, format, and distribute reports, presentations, and other business documents with a strong focus on accuracy and consistency.
• Coordinate travel logistics when needed, including arranging itineraries and supporting related scheduling details.
• Support office hospitality by preparing meeting spaces, welcoming visitors, arranging meals, and assisting with meeting logistics.
• Prepare and submit expense documentation while maintaining organized records and timely processing.
• Assist analyst and consultant teams with recurring quarterly activities, including monitoring deadlines and helping keep client-related materials on schedule.
• Provide operational support for additional administrative tasks, including data entry, call handling, and other office coordination duties as needed.
• At least 2 years of experience in an administrative assistant or similar office support role.• Strong written and verbal communication skills with the ability to interact effectively across all levels of an organization.
• Excellent organizational and planning abilities, with close attention to detail and follow-through.
• Advanced proficiency in Microsoft Office applications, including PowerPoint, Word, Outlook, and Excel.
• Ability to manage multiple priorities, work independently, and remain effective in a busy office setting.
• Sound judgment, discretion, and a service-oriented approach to supporting team and office needs.
• Demonstrated willingness to learn new processes, adapt quickly, and contribute wherever needed.
• Stable employment background showing reliability, accountability, and consistent performance.
