Front Desk Administrative Assistant

Pay: $22 hr 
Location: Pasadena, TX 77503 Southeast Houston
Schedule: Mon-Fri 8am-5pm 
Job type: Temp-Hire 

 


The Front Desk Administrative Assistant plays a key role in supporting office operations. This position provides clerical and administrative support, working collaboratively with management and peers to deliver outstanding customer service and uphold our quality standards, policies, and procedures.

Responsibilities:

  • Provide front-desk coverage, including managing a busy, multiline phone system and greeting guests.
  • Handle incoming and outgoing mail, office shipments, and maintain an organized office environment.
  • Answer phone calls and email inquiries from customers promptly, with a high sense of urgency.
  • Communicate status updates to internal teams and customers, ensuring deadlines and operational goals are met.
  • Assist with order processing, quotes, invoices, and requests as directed by team leaders.
  • Enter customer information into SAP and other logging systems; set up vendor profiles and file records.
  • Support bookkeeping tasks such as processing customer payments and resolving local A/R and A/P inquiries.
  • Forward potential customer leads and information to sales representatives.
  • Assist with general office projects and maintain office equipment, supplies, and inventories.
  • Participate in process improvement initiatives as a cross-functional team member; escalate concerns as needed.

Qualifications:

  • High school diploma or equivalent required.
  • 2+ years of related experience in customer service, administrative support, or office management preferred.
  • Equivalent combinations of education, training, and experience will be considered.
  • Experience in telephone and email/ticketing system-based customer support preferred.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Knowledge of office management systems and procedures; strong independent decision-making skills.
  • Solid organizational skills and attention to detail; self-motivated and able to manage multiple tasks.

Additional Information:

  • Example duties may include requesting W-9s, obtaining exempt/resale certificates, and processing various customer paperwork (COIs, lien waivers, applications for payment, etc.).
  • May help submit credit considerations, process warranty claims, and parts returns.
