Description:
The Data Entry & Call Center Specialist is responsible for supporting daily operations through accurate data entry and high‐quality customer service. This hybrid role manages inbound calls, assists offices with case-related inquiries, and ensures timely and accurate entry of patient and case information into internal systems. The specialist plays a key role in maintaining data integrity, facilitating communication with providers, and contributing to an efficient workflow.
Key Responsibilities
Call Center / Intake Support
Manage inbound calls from providers, office staff, and patients in a professional, courteous manner.
Assist callers with case status updates, submission requirements, product or process questions, and portal-related support.
Troubleshoot basic issues and escalate complex questions to the appropriate internal team.
Document all call interactions accurately and thoroughly.
Provide consistent, clear communication and maintain service-quality standards.
Data Entry & Case Management
Accurately enter, update, and maintain patient and case information in internal systems.
Review submissions for completeness and follow up when additional information is needed.
Identify duplicate profiles or conflicting data and escalate or merge as required.
Perform routine data validation, audits, and reporting tasks.
Maintain confidentiality and adhere to all compliance and data‐handling policies.
Cross-Functional Support
Collaborate with clinical intake, authorization, and operations teams to resolve data discrepancies.
Support workflow improvements to enhance efficiency and accuracy.
Maintain up-to-date knowledge of products, submission requirements, and internal processes.
Assist with training support or portal‐related inquiries when needed.
Qualifications
High school diploma or equivalent; experience in healthcare or customer service preferred.
Strong attention to detail with a focus on accuracy and completeness.
Excellent verbal and written communication skills.
Ability to multitask in a fast-paced environment and manage competing priorities.
Comfortable navigating electronic databases and Microsoft Office applications.
Strong problem‐solving skills and commitment to providing a positive provider experience.
Preferred Skills (Optional)
Familiarity with medical terminology, insurance authorization processes, or clinical workflows.
Experience in Salesforce or other CRM/EMR platforms.
Prior call center or data entry experience in a healthcare setting.
