Job Description
We are looking for a detail-oriented Receptionist to support a busy law firm in Centerville, MA. This position is ideal for someone who excels at front-desk coordination, communicates clearly with clients and colleagues, and keeps daily operations organized. The role combines administrative support, document handling, scheduling, and financial coordination in a fast-paced legal environment.
Responsibilities:
• Coordinate appointment scheduling and maintain attorney calendars to support daily workflow and upcoming commitments.
• Draft, format, and review post-closing paperwork and written communications for accuracy and completeness.
• Process disbursements, assist with billing activities, and help maintain organized financial records.
• Submit and track documents with courts, government offices, and other external agencies as needed.
• Monitor important timelines, including filing deadlines and court-related dates, and help ensure timely follow-up.
• Manage incoming and outgoing mail, scan and copy materials, and keep physical and electronic files well organized.
• Welcome clients, support intake activities, and provide general administrative assistance across the office.
• Answer and route inbound calls through a multi-line phone system while delivering courteous and attentive service.
• Prior experience in a receptionist or front-desk support role within a well-organized office setting.• Ability to manage a multi-line phone system and handle a high volume of inbound calls efficiently.
• Strong organizational skills with the ability to balance scheduling, document management, and administrative tasks.
• Excellent written and verbal communication skills, including proofreading and correspondence handling.
• Comfort working with billing-related tasks, financial documentation, and detailed recordkeeping.
• Ability to maintain confidentiality and exercise sound judgment when working with sensitive information.
• Proficiency with standard office technology, including scanning, copying, filing, and general administrative software.
