The Public Affairs Administrative Support position provides administrative, customer service, records management, and document support to WAPA. This role requires strong organization, communication, and Microsoft Office 365 skills, with an emphasis on accuracy, formatting, and customer service.

This is a long-term contract opportunity offering stability, exposure to federal programs, and support essential public affairs and administrative operation

Key Responsibilities
  • Review documents for grammar, formatting, plain language, and branding consistency.
  • Create, maintain, and update documents, spreadsheets, reports, and tracking logs using Microsoft Office 365.
  • Manage the Public Affairs inbox, route requests, and respond to customers seeking information about WAPA.
  • Prepare and distribute weekly leadership reports and other recurring reports.
  • Maintain internal and external customer mailing lists and records.
  • Manage WAPA-wide business card requests, orders, and distribution.
  • Complete printing requests, operate the wide-format printer, and maintain printing supplies.
  • Coordinate shipment, scheduling, and inventory of WAPA displays and communication materials.
  • Provide records management support, including annual file inventories and preparation of records for storage.
  • Maintain standard operating procedures for recurring work.
  • Coordinate staff travel and provide general administrative support, including filing and scheduling.
  • Educate customers on available services and resources.
Required Qualifications
  • High school diploma or GED.
  • Proficiency in Microsoft Office 365.
  • Strong written and verbal communication skills.
  • Strong interpersonal, organizational, and time-management skills.
  • Ability to manage multiple priorities and maintain accurate records and documentation.
Security Clearance Requirement
  • U.S. Citizenship required
  • Ability to obtain and maintain a federal security clearance (Secret / Top Secret / Public Trust)
  • Employment is contingent upon successful background investigation and PIV card issuance
