POSITION SUMMARY

The Air Operations Specialist I independently coordinates daily international air import and export shipments from booking through final delivery. This position works closely with customers, airlines, overseas agents, customs brokers, trucking companies, and internal departments to ensure shipments are processed accurately and on schedule. The role maintains complete shipment records in CargoWise and ensures compliance with TSA, CBP, IATA, and company requirements. Through reliable shipment execution and responsive customer service, this position supports the efficiency and continued growth of the Air Operations Department.


KEY RESPONSIBILITIES

  • Independently manage international air import and export shipments.
  • Coordinate shipment bookings with airlines, overseas agents, trucking companies, and customers.
  • Prepare and review shipping documentation including MAWB, HAWB, commercial invoices, packing lists, arrival notices, and other required documents.
  • Track shipment milestones and proactively communicate shipment status to customers.
  • Coordinate customs clearance and final delivery when required.
  • Resolve shipment issues, delays, and exceptions while maintaining excellent customer service.
  • Ensure compliance with TSA, CBP, IATA, and company SOPs.
  • Accurately enter and maintain shipment data in CargoWise.
  • Verify billing information and support invoice preparation.
  • Collaborate with Ocean Operations, Sales, Warehouse, Trucking, and overseas offices.
  • Assist with process improvement initiatives and support junior team members when needed.


QUALIFICATIONS & EXPERIENCE

  • Education: High school diploma or equivalent required. Associate or bachelor’s degree in Logistics, Supply Chain Management, International Business, or a related field preferred.
  • Experience: Minimum two years of experience in air import/export freight forwarding, international logistics, or a related operational function.
  • Technical Skills: Knowledge of air import/export procedures, shipment documentation, and applicable TSA, CBP, and IATA requirements. Experience with CargoWise or comparable freight-forwarding software is preferred. Proficiency in Microsoft Excel, Outlook, and Word is required.
  • Language Requirements: Professional verbal and written proficiency in English and Mandarin Chinese is required.

WORKING CONDITIONS / OTHER REQUIREMENTS

  • Primarily works in a professional office environment with frequent use of computers, telephones, and freight-forwarding systems.
  • May occasionally enter warehouse, airport cargo, or freight-handling environments and must follow all applicable safety and security requirements.
  • Must be able to sit or stand for extended periods and perform routine computer-based duties.
  • Regular full-time work schedule with occasional overtime, early-morning, evening, weekend, or holiday availability based on shipment requirements.
  • Must be able to communicate with customers, vendors, carriers, and overseas partners across different time zones.
  • Occasional local or business travel may be required.
