About this job
Under the direction of the Department Manager, this position serves as an academic recruitment subject matter expert and works collaboratively with the Recruitment Lead and all Academic Personnel teams to manage day-to-day recruitment activities and provide high-level analytical support to the Associate Vice Chancellor, Assistant Dean, Department Manager, School/Department leadership and staff. This position also serves as a liaison to the Office of the Vice Provost-Academic Affairs and the Academic Personnel staff; provides policy interpretation, analysis and best practice recommendations related to academic personnel policies; assist in the development and implementation of new School, campus and system procedures and provides training to all levels of internal and external staff and faculty.

- Bachelor's degree in related field or discipline and/or equivalent training and experience.
- Extensive experience and understanding of academic recruitment process (faculty recruitment highly preferred) including online application management, advertising, interviewing and search committee oversight
- Knowledge and understanding of Academic Personnel Manual policies and academic bargaining unit contracts.
- Experience working in the following systems: UC Recruit, MyInfoVault, APHID, Airtable, PeopleSoft, and Outlook.
- Experience and working knowledge of Microsoft Suite.
- Demonstrated analytical decision-making, critical thinking and problem-solving skills.
- Accomplished multi-tasking, organization and discipline skills.
- Excellent interpersonal, communication (written and oral), and customer service.
- Detail oriented with excellent project management skills.
Preferred Qualifications
- Bachelor's degree
- Experience working with union contracts.
- Experience using campus and school Recruit/payroll/personnel systems.
- At least two years experience in Academic Health system setting
- Working knowledge of virtual interview software.
- Knowledge and understanding of Academic Personnel Manual policies and academic bargaining unit contracts.

Department Overview
The Office of Academic Personnel, School of Medicine Dean's Office has overall responsibility for administration of the academic personnel process and faculty development programs in the Schools of Health. The Schools consists of 26 different focus areas and/or departments and 12 organized research units. The office is currently comprised of the Associate Vice Chancellor, Assistant Vice Chancellor, Assistant Dean, Department Manager and five teams consisting of Academic HR Analysts, Project Policy Analysts and a Health Professions Education Specialist.
The workforce of the School consists of approximately 4000 academic appointees including members of the Academic Senate, Academic Federation, Junior Specialists, Volunteer Clinical Professor, Visiting Professors, and student titles.
Academic Personnel oversees two major functions - 1) The recruitment, appointment, advancement, compensation and retention of all academic personnel and 2) Faculty development programs for the Schools of Health and other professional development and leadership activities. Under the direction of the AVC, Assistant Dean and Department Manager, the department works collaboratively to provide high-level analytical support to the Associate Vice Chancellor and Dean, Department Chairs, Program Directors, Chief Administrative Officers, Department Analysts and faculty. They provide information, policy interpretation, development of new policies and procedures.
Department Specific Job Scope
Under the direction of the Department Manager, this position works collaboratively to provide support to the Recruitment Lead and Generalist Team for day-to-day recruitment activities and high-level analytical and administrative support to the Associate Vice Chancellor, Assistant Dean and other School/Department staff. This position will also communicate and work collaboratively with the Office of the Vice Provost-Academic Affairs and the Academic Personnel staff; provide information, interpretation and recommendations related to academic personnel policies; assist in the development and implementation of new School, campus and system procedures and practices, and assist with matters involving employment and labor relations.
