Job Description
Sparks Group is seeking an organized and detail-oriented Assistant Town Clerk with municipal records, public meetings, elections, public information requests, and general administrative operations. This position works closely with leadership, staff, residents, and the public and requires excellent organization, professionalism, confidentiality, and attention to detail.
Key Responsibilities- Assist with preparation and coordination of Town Council meetings, agendas, meeting materials, and minutes.
- Maintain official municipal records, documents, and electronic files in accordance with applicable requirements.
- Respond to public inquiries and assist with public records requests and related documentation.
- Support municipal election activities, including election records, poll-worker coordination, and related administrative tasks.
- Prepare and coordinate legal notices, advertisements, and other required public communications.
- Maintain information on the Town's website and electronic meeting/agenda systems.
- Assist with compliance activities involving public meetings, records, ethics, and applicable municipal requirements.
- Provide administrative support for department purchasing, budgeting, invoices, and related records.
- Notarize and certify documents and administer oaths as required.
- Attend Town meetings, bid openings, and other municipal events as needed.
- Provide backup support to the Town Clerk and assist with the functions of the office in the Clerk's absence.
- Perform other administrative and records-related duties as assigned.
- Bachelor's degree in Public Administration, Business Administration, Records Management, or a related field preferred.
- At least three years of relevant administrative, records management, office management, customer service, or municipal/government experience.
- Strong computer skills and the ability to learn and work with electronic records and agenda-management systems.
- Excellent written and verbal communication skills.
- Strong organizational skills and exceptional attention to detail.
- Ability to handle confidential information and interact professionally with elected officials, employees, residents, and the general public.
- Ability to manage multiple priorities and meet deadlines in a public-sector environment.
- Must be able to obtain and maintain a Florida Notary Public commission.
- Valid Florida driver's license, or ability to obtain one within the required timeframe.
- Previous municipal or local government experience.
- Familiarity with Florida public records, Sunshine Law, municipal elections, and related requirements.
- Certified Municipal Clerk (CMC) designation or progress toward certification.
- Experience with municipal agenda, records-management, or public-information systems.
