The Opportunity
Greenwich House is seeking a detail-oriented and reliable HR Administrative Assistant to join our Human Resources team. This is an entry-level opportunity for someone looking to build a career in Human Resources while supporting the day-to-day operations that keep our HR department running smoothly. The HR Administrative Assistant will provide essential support across recruitment, onboarding, offboarding, records management, and general administrative functions, working closely with the HR team to ensure a positive and well-organized experience for staff throughout the employee lifecycle.
This role is ideal for someone early in their HR career who is organized, eager to learn, and who wants to contribute to a mission-driven organization making a lasting impact in New York City.
Responsibilities
- Maintain and update employee records, HR databases, and filing systems, ensuring accuracy and confidentiality of all HR documentation.
- Coordinate candidate communication for pre-hire steps and background checks, and support onboarding logistics. Process Personnel Authorization Form (PAF) requirements for HR review, update the payroll change folder, and maintain recruitment and onboarding trackers.
- Support new hire onboarding, including preparing orientation materials, ensuring completion of required paperwork, and conducting background checks.
- Process terminations in ADP, maintain termination trackers, and issue formal termination letters.
- Provide general administrative support to the HR department, including managing correspondence, scheduling meetings, preparing documents, sorting mail, and responding to inquiries in the HR Team email inbox.
- Reconcile credit card statements using Nexonia and Doclink.
- Prepare employment verification letters and manage employee ID and access card creation and distribution.
- Perform additional tasks or responsibilities as assigned by the supervisor.
What You’ll Bring
- Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience preferred.
- Proficiency in Microsoft Office Suite and exposure to HRIS software.
- Strong organizational skills with high attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to handle sensitive information with confidentiality.

Schedule: 35 hours/week, Monday - Friday, 9:00 AM - 5:00 PM
FLSA Classification: Non-Exempt

Salary Range
The expected base salary for this position is $50,000 annually. This range reflects the anticipated compensation at the time of this posting and may be adjusted based on experience, education, and organizational needs.
