We are looking for an experienced Executive Assistant to support senior leadership in Idaho. This contract position is ideal for a candidate with relevant experience and strong attention to detail who can bring structure, sound judgment, and efficiency to a busy executive environment. The right candidate will excel at balancing shifting priorities, maintaining clear communication, and ensuring daily operations stay organized and on schedule.
Responsibilities:
• Oversee complex executive calendars by organizing appointments, adjusting schedules, and helping leaders stay aligned with key priorities.
• Coordinate meetings with internal teams and external partners, including preparing materials, confirming logistics, and supporting a smooth meeting experience.
• Arrange business travel by securing transportation, lodging, and detailed itineraries that reflect executive preferences and timelines.
• Draft and format detailed documents such as correspondence, reports, presentations, and other business-related materials.
• Review incoming messages and requests, elevate urgent matters, and help manage follow-up in a timely manner.
• Maintain visibility into outstanding tasks, important deadlines, and next steps to support executive decision-making and accountability.
• Prepare and submit expense reports along with other administrative records accurately and on time.
• Contribute to special assignments and provide broader administrative assistance as business needs evolve.
• Handle sensitive information with a high level of discretion and confidentiality.• Prior experience providing direct administrative support to executive or senior leadership teams.
• Strong ability to manage calendars, coordinate meetings, and keep multiple priorities organized in a fast-paced setting.
• Demonstrated experience arranging travel and handling related logistics with accuracy and attention to detail.
• Excellent written and verbal communication skills, with the ability to prepare clear and well-structured business documents.
• Proven ability to manage confidential information with sound judgment and discretion.
• High level of organization with the ability to track deadlines, action items, and follow-up tasks effectively.
• Proficiency with standard office and business productivity tools used for scheduling, communication, and reporting.
