The Temporary Fleet/Facilities Technical Coordinator will provide short-term operational and administrative support for fleet and facilities asset management activities.
The position will focus on maintaining daily operational continuity, including communication, tracking, documentation, data updates, and coordination with internal teams, regional staff, vendors, and other stakeholders.
The selected candidate will support fleet-related activities, maintain and update fleet order and asset tracking tools, organize records and documentation, assist with asset inventory and tagging information, support surplus and delivery tracking, and monitor follow-up items related to fleet acquisition, warranties, invoices, and operational requests.
The position will also assist with preparing and updating standard operating procedures, communication materials, status reports, and other documentation needed to support consistent program operations.
This role requires strong communication, organization, attention to detail, responsiveness, and the ability to adapt to changing daily priorities. Because of the limited three-month assignment, the selected candidate should be able to quickly learn existing processes, manage assigned tasks with minimal oversight, and provide dependable operational support.
Key ResponsibilitiesProvide administrative and operational support for fleet and facility-related activities.
Support motor pool and fleet management activities.
Maintain and update fleet orders, asset tracking tools, databases, and related records.
Organize and maintain documentation, records, and operational files.
Assist with asset inventory, asset tagging, and asset record maintenance.
Track surplus activities, deliveries, and other asset-related transactions.
Monitor follow-up items associated with fleet acquisition, warranties, invoices, and operational requests.
Coordinate with internal teams, regional staff, vendors, and other stakeholders.
Assist with preparing and updating standard operating procedures and process documentation.
Prepare status updates, reports, communication materials, and other operational documentation.
Review and maintain accurate data to support asset management activities.
Assist with dashboards, reports, data collection, and data analysis.
Support invoice, purchase order, contract, warranty, and delivery documentation.
Respond promptly to inquiries and provide organized customer service.
Manage multiple assignments and changing priorities in an operational environment.
Perform other related administrative, technical, and operational duties as assigned.
Associates or bachelors degree in business, administration, or another related field; and
Three (3) years of demonstrated competency experience in maintenance, fleet/facility operations, or a related technical discipline.
Education equivalent to graduation from high school; and
Five (5) years of demonstrated competency experience in maintenance or a related technical discipline.
Strong written and verbal communication skills.
Ability to respond to inquiries promptly and professionally.
Strong organizational and customer service skills.
Experience maintaining accurate records, documentation, audit information, or compliance-related files.
Experience coordinating with internal teams, regional staff, vendors, or cross-functional stakeholders.
Experience supporting fleet, facility, maintenance, asset management, or related technical operations.
Experience with asset inventory, asset tagging, asset tracking, or maintaining asset records in a database or system.
Working knowledge of dashboards, reports, data collection, or data analysis to support operational decision-making.
Experience reviewing invoices, purchase orders, contracts, warranty information, delivery terms, or asset-related financial records.
Ability to work independently while managing multiple priorities.
Strong attention to detail and follow-through.
Ability to quickly learn existing processes and procedures.

Hybrid Schedule: Three (3) days in the office and two (2) days working remotely.
