Job Description
Position Summary:
The Sales Coordinator role is to support our sales organization and improve the customer experience from initial engagement through post-sale follow-up. This position will serve as a critical link between Sales, Marketing, Operations, Product Development, distributors, and customers. In addition, this position will report to the President of the company.
Key Responsibilities
Trade Shows & Lead Management
Trade shows and lead management are a very important component of this position and the duties will include:
· Manage the entire trade show process for each of our 10+ trade shows
· Coordinate booth reservations, schedules, attendees, and deadlines
· Coordinate packing and shipping of equipment and materials
- Manage the trade show lead capture and uploading and organizing leads in Odoo
- Categorize leads by opportunity and priority + Track trade show leads through the follow-up process
- Create follow-up lists for salespeople and distributors
- Send timely initial follow-up communications
Purchase Order & Customer Status Updates
Take ownership of routine customer and distributor requests regarding:
- Customer purchase order status
- Communication of production status + ship dates
- Lead times
- Order updates
Warranty Tracking & Reporting
Coordinate warranty follow-up in Odoo and develop measurable reporting.
Track:
- Number of warranty incidents
- Product involved
- Type of problem
- Root cause
- Date reported
- Resolution
- Time to resolution
- Recurring product issues
Price Lists & Catalog Management
Coordinate updates to:
- Price lists
- Product catalogs
- Product specifications
- Product changes
- Distributor materials
Website Lead & Catalog Request Management
Manage incoming website requests.
- Review website inquiries
- Route qualified opportunities appropriately
- Process catalog requests
- Enter information into Odoo
- Send follow-up communications
- Audit website requests to ensure every inquiry has been addressed
Customer Testimonials & Content Coordination

- Identify satisfied customers
- Request testimonials
- Coordinate customer interviews
- Schedule video teams when appropriate
- Maintain testimonial and customer-reference database
Sales & Marketing Materials
Coordinate ordering and inventory of:
- Swag
- Banners
- Posters
- Trade show materials
- Customer gifts
- Sales collateral
Ideal Candidate
The ideal candidate must be eager to travel to 2-4 large trade shows a year, has 1-3 years of customer service and/ or inside sales experience. A college degree is not required, but would be preferred (especially in a communications or business related field). In addition, the ideal candidate is:
- Extremely organized
- Has a high sense of customer service urgency

- Comfortable communicating with customers

- Strong at follow-through
- Comfortable managing multiple projects
- Able to work across departments
- Comfortable with CRM/ERP systems
