Property Administrative Assistant
Employment Type: Temporary
Pay: Depending on Experience (DOE)
Schedule: Monday–Friday, 9:00 AM–5:00 PM

Position Summary
We are seeking experienced and professional Assistant Property Manager and Property Assistant candidates to support the day-to-day operations of a commercial property in Washington, DC.
The ideal candidate will have prior commercial property management or real estate experience and be comfortable working directly with tenants, vendors, contractors, and property management staff.
Candidates should be organized, responsive, and capable of independently coordinating tenant requests and projects while ensuring timely follow-up and excellent customer service.
Key Responsibilities
- Serve as a point of contact for tenants and assist with day-to-day requests, questions, and property-related concerns.
- Coordinate tenant projects, work orders, vendors, contractors, and scheduled property services, ensuring appropriate follow-up through completion.
- Manage building access requests, including FOBs, keys, access permissions, and related tenant documentation.
- Request, track, and maintain Certificates of Insurance (COIs) from tenants, vendors, and contractors.
- Assist with invoice processing, coding, documentation, and other property-related administrative and accounting functions.
- Coordinate meetings, service appointments, inspections, vendor access, and tenant scheduling.
- Maintain organized property files, correspondence, reports, and tenant/vendor records.
- Communicate professionally with tenants and vendors while helping resolve issues efficiently.
- Provide general administrative and operational support to the Property Manager and property management team.
Qualifications
- Previous commercial property management, commercial real estate, or related property operations experience required.
- Experience coordinating tenant projects, vendors, contractors, or building services strongly preferred.
- Strong organizational skills with the ability to manage multiple priorities and follow through on outstanding items.
- Excellent written and verbal communication and customer service skills.
- Professional, responsive, dependable, and comfortable interacting directly with tenants and vendors.
- Proficiency with Microsoft Outlook and Excel.
- Ability to work independently while collaborating effectively with the property management team.
