Job Description
We are seeking an organized, compassionate, team-oriented Clinical Team Lead to help lead and strengthen the clinical operations of our growing multidisciplinary medical practice. This role is ideal for an RN, a strong LPN, or an exceptionally capable Medical Assistant who is comfortable taking ownership, supporting colleagues, and ensuring patients move through their care plans effectively.
This is not a narrow “stay in one lane” position. The right person enjoys leading by example, jumping in where needed, maintaining excellent clinical standards, and helping build a reliable, supportive, high-performing team. You will work closely with providers, clinical staff, administrative staff, and patients in an office-based setting focused on musculoskeletal care, pain care, rehabilitation, regenerative medicine, and related services.
Position Summary
The Clinical Team Lead oversees day-to-day clinical workflow and supports the delivery of safe, organized, efficient, patient-centered care. This person will supervise and coordinate the clinical team, ensure patient information and care-plan tracking are accurate and current, assist with procedures and laboratory-related work, and help create a culture of accountability, teamwork, and excellent service.
The Clinical Team Lead will also learn to safely operate a C-arm fluoroscopy unit in accordance with practice protocols, training requirements, applicable licensing rules, radiation-safety procedures, and provider direction.
Core Responsibilities
Clinical Leadership and Team Oversight
- Lead the clinical team with a calm, positive, solutions-focused attitude.
- Help establish daily priorities, staffing assignments, room flow, and clinical coverage.
- Supervise clinical staff workflow, including medical assistants, nurses, procedure-room support staff, and other assigned team members.
- Model professionalism, teamwork, punctuality, respect, accountability, and a willingness to help wherever needed.
- Identify workflow gaps, bottlenecks, communication problems, and recurring operational issues; bring practical solutions to leadership.
- Participate in staff training, onboarding, competency development, coaching, and performance feedback.
- Reinforce adherence to office policies, clinical protocols, infection-control procedures, safety standards, documentation expectations, and patient-service standards.
- Help maintain a collaborative environment in which all team members support one another and patients feel cared for.
Patient Coordination and Care Tracking
- Ensure patients are appropriately tracked through their recommended care plans, treatment series, follow-up visits, laboratory work, procedures, imaging, referrals, and other next steps.
- Help ensure that patient tasks, orders, recalls, messages, results, and follow-up needs are documented and completed promptly.
- Monitor clinical schedules and patient flow to reduce missed steps, delays, incomplete treatment plans, and avoidable patient confusion.
- Work with providers and front-office team members to identify patients who need follow-up, outreach, education, scheduling assistance, or additional support.
- Help patients understand what they need to do next, including preparation instructions, follow-up expectations, home-care recommendations, paperwork, laboratory steps, and appointment scheduling.
- Promote patient engagement and accountability in a respectful way—helping patients “help themselves” by making their next steps understandable, achievable, and well organized.
- Maintain accurate, timely, complete documentation in the electronic medical record and other practice tracking systems.
Clinical and Procedure Support
- Prepare examination rooms, procedure rooms, supplies, equipment, and patient materials for daily clinical operations.
- Room patients, obtain and document vital signs, review medications and allergies, complete appropriate intake information, and communicate relevant concerns to providers.
- Assist physicians and advanced clinical staff during office-based procedures.
- Provide pre-procedure and post-procedure patient education, instructions, monitoring, and documentation as directed.
- Support proper procedure-room turnover, stocking, cleaning, sterilization coordination, supply readiness, and infection-control processes.
- Anticipate provider and patient needs during procedures while maintaining a calm, safe, organized environment.
- Assist with patient phone calls, portal messages, triage-related communication, refill workflows, results communication, and care coordination as delegated and permitted by role and licensure.
Laboratory and Blood Draw Support
- Perform venipuncture and blood draws, as permitted by training, certification, licensure, and practice policy.
- Label, document, process, package, store, and prepare specimens for testing or shipment according to laboratory requirements and practice protocols.
- Assist with in-office laboratory workflows, including specimen handling, centrifugation, processing, inventory, quality-control procedures, and documentation as applicable.
- Maintain organized laboratory supplies, ensure proper stock levels, monitor expiration dates, and support compliance with applicable standards.
- Help ensure a clean, safe, orderly lab environment and proper handling of biohazardous materials.
- Experience with IV's a plus.
Organization, Documentation, and Operational Excellence
- Take ownership of clinical checklists, supply management, room readiness, patient-tracking systems, and workflow documentation.
- Help maintain accurate inventories of clinical supplies, procedure supplies, medications, laboratory materials, and personal protective equipment.
- Track outstanding clinical items, including incomplete forms, lab needs, consent documentation, outside records, prior-authorizations or scheduling dependencies as assigned, and patient follow-up tasks.
- Develop and improve simple, repeatable systems that help the team stay organized and prevent important details from being missed.
- Participate in daily huddles, team meetings, workflow reviews, and quality-improvement efforts.
- Protect patient confidentiality and comply with HIPAA, OSHA, infection-control, safety, and practice policies at all times.
Qualifications
Required
- Current and unrestricted Indiana credentialing appropriate to the role:
- Registered Nurse preferred, or
- Licensed Practical Nurse with significant relevant experience, or
- Highly experienced Medical Assistant with strong clinical, procedural, laboratory, and leadership capabilities.
- Experience working in a medical office, outpatient clinic, ambulatory procedure environment, specialty practice, or similar clinical setting.
- Strong organizational skills, attention to detail, follow-through, and ability to manage multiple priorities.
- Demonstrated leadership ability, whether through formal supervisory experience or proven ability to guide teams and take ownership of clinical workflow.
- Comfortable working in a fast-paced office setting while remaining professional, calm, and patient-focused.
- Strong verbal and written communication skills.
- Ability to use electronic medical records, task-management systems, scheduling systems, and standard office technology effectively.
- Ability to perform or learn blood draws, specimen handling, procedure assistance, and office-based clinical workflows.
- Willingness and ability to complete C-arm training and follow all applicable safety and competency requirements.
Preferred
- Prior experience leading, mentoring, training, or supervising clinical staff.
- Experience in pain management, orthopedics, sports medicine, physical medicine and rehabilitation, interventional procedures, regenerative medicine, neurology, or a related specialty.
- Experience assisting with sterile or office-based procedures.
- Venipuncture and laboratory-processing experience.
- Experience with IV's
- Familiarity with imaging workflows, fluoroscopy, C-arm use, radiation-safety practices, or procedural-suite operations.
- Experience with Athenahealth or another electronic medical record platform.
- Experience creating checklists, workflows, standard operating procedures, or patient-tracking systems.
- Spanish Speaking a plus
- Experience with Athena EMR

- Ability to assist with patient positioning and transfers as appropriate and within safe-lifting guidelines.
- Ability to handle clinical supplies, specimen containers, equipment, and protective gear.
- Ability to wear required personal protective equipment, including radiation-protection equipment when supporting fluoroscopy-guided procedures.
- Ability to maintain reliable attendance and flexibility to support patient and team needs during scheduled clinic hours.
