Cash Application Specialist
Pay: $27–$29 per hour
Employment Type: Contract-to-Hire
Schedule: Five days onsite during the contract period; eligible for one remote day per week upon permanent hire
Position Overview
A national leader in the facility services industry is seeking a detail-oriented Cash Application Specialist to join its Shared Services Center.
This position is responsible for accurately posting customer payments, reviewing remittance information, researching unapplied cash, resolving payment discrepancies, and supporting account reconciliations in a high-volume environment.
The ideal candidate will have previous cash application or accounts receivable experience, strong analytical and customer service skills, and experience working with an ERP system. Experience with Microsoft Dynamics 365 is highly preferred.
Key Responsibilities
- Process and apply high-volume customer payments received through lockbox, ACH, wire, virtual card, check, and other payment methods.
- Review remittance information and accurately apply payments to the appropriate customer accounts and invoices.
- Research and resolve unapplied cash, unidentified payments, short payments, deductions, overpayments, and other discrepancies.
- Contact customers and internal teams to obtain missing remittance information.
- Maintain accurate records of payment activity, research, and resolution status.
- Monitor unapplied cash and payment exceptions, ensuring timely follow-up and resolution.
- Assist with daily cash reconciliations and resolve posting differences.
- Support month-end close by ensuring assigned payments and exceptions are processed or properly documented.
- Follow established cash application procedures, internal controls, and documentation requirements.
- Escalate complex payment issues or unresolved discrepancies to Cash Application leadership.
- Partner with Accounts Receivable, Billing, Treasury, Operations, and other business teams to resolve account and payment issues.
- Assist with process documentation, system testing, training, and continuous improvement initiatives.
- Protect confidential customer and company information.
- Perform additional cash application and Shared Services duties as assigned.
Required Qualifications
- At least two years of experience in cash application, accounts receivable, payment processing, or a related accounting function.
- Experience processing customer payments in a high-volume environment.
- Working knowledge of ACH, wire, lockbox, check, virtual card, and remittance processing.
- Experience researching unapplied cash, payment exceptions, and account discrepancies.
- Experience working with an ERP or financial management system.
- Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines.
- Professional written and verbal communication skills.
- Ability to work independently and collaborate effectively within a team.
Preferred Qualifications
- Experience with Microsoft Dynamics 365.
- Previous Shared Services Center experience.
- Experience supporting multiple business units, entities, or operating locations.
- Familiarity with bank reconciliations and month-end close processes.
- Associate or bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
