Job Description
We are looking for an experienced Sr. Executive Assistant to support senior leadership within a non-profit organization in Dallas, Texas. This Contract position is ideal for an experienced administrative assistant who can manage shifting priorities, maintain strong organization across executive activities, and communicate with discretion. The role will play a key part in keeping schedules, meetings, travel, and written communications running smoothly in a fast-paced environment.
Responsibilities:
• Oversee a complex executive calendar, balancing competing priorities and ensuring appointments are organized efficiently.
• Prepare meeting agendas, assemble supporting materials, and help keep leadership discussions structured and productive.
• Coordinate domestic and/or business travel plans, including itineraries, reservations, and related logistics.
• Arrange conference registrations and manage the scheduling details connected to executive attendance at events.
• Draft, edit, and format clear correspondence, reports, and other written communications on behalf of leadership.
• Support executive meetings by organizing logistics, confirming attendees, and following up on action items as needed.
• Create and maintain high-quality documents, spreadsheets, presentations, and email communications using Microsoft Office applications.
• Anticipate administrative needs, resolve scheduling conflicts, and provide high-level support with discretion and confidentiality.• Proven experience supporting senior executives in a high-level Executive Assistant capacity.
• Strong background in calendar coordination, meeting planning, and executive scheduling.
• Demonstrated ability to arrange travel and build detailed itineraries with accuracy.
• Advanced proficiency with Microsoft Office, including Word, Excel, Outlook, and presentation tools.
• Excellent written communication skills with experience preparing business correspondence.
• Ability to manage multiple priorities, meet deadlines, and adapt to changing executive needs.
• Strong judgment, discretion, and a service-oriented approach when handling sensitive information.
