The Town of Falmouth welcomes applications for a detail-oriented, customer-service-focused Principal Office Assistant to join the Treasurer/Collector Division of the Finance Department. This position processes municipal payments, maintains and reconciles financial records, assists with account collection, and provides service to residents and other customers.

This is a full-time, year-round, benefit-eligible position that works 37.5 hours per week, Monday through Friday, from 8:00 a.m. to 4:30 p.m., with a one-hour unpaid lunch break.

The Principal Office Assistant works independently in a busy, public-facing office that requires the ability to remain productive and accurate amid frequent interruptions while providing welcoming, accessible, and respectful service to all members of the community.

Under the general supervision of the Treasurer/Collector or designee, key responsibilities include:

  • Processing payments for real estate and personal property taxes, motor vehicle and boat excise taxes, water and sewer charges, mooring bills, parking tickets, and other municipal accounts;
  • Posting payments and abatements; preparing and reconciling deposits, refund schedules, departmental receipts, reports, and related financial records; and coordinating with the Assessor’s Office regarding uncollectible accounts and related reconciliations;
  • Processing tax-title payments and preparing deed-redemption certificates, certificates of municipal liens, and releases of betterments;
  • Supporting delinquent-account collection, researching account discrepancies, and assisting customers with complex account questions;
  • Assisting with tax bills, notices, tax-taking preparation, and authorized Registry of Motor Vehicles transactions;
  • Issuing beach and waste-management facility permits and responding to inquiries from residents, property owners, attorneys, financial institutions, Town departments, and government agencies; and
  • Cross-training in assigned customer-service, payment-processing, recordkeeping, and other administrative functions within the Treasurer/Collector Division and the Finance Department and providing coverage or assistance as needed.

Minimum Qualifications: High school diploma or equivalent and a minimum of four (4) years of experience involving customer service and financial transactions, bookkeeping, account processing, or responsible office administration; or an equivalent combination of education, training, or experience that demonstrates possession of the required knowledge, skills, and abilities necessary to perform the essential functions of the position. Working knowledge of office procedures and basic bookkeeping or financial-recordkeeping practices is required.

The successful candidate will have meticulous attention to detail; strong customer service, organizational, communication, and computer skills; and the ability to work independently and accurately, prioritize competing responsibilities, and remain calm and professional during difficult or sensitive interactions. The position requires the ability to learn multiple financial and governmental software systems and to obtain and maintain any Registry of Motor Vehicles security clearance required for assigned duties.

Anticipated Starting Hourly Rate: Step 1 ($30.13/hour) to Step 3 ($32.59/hour), commensurate with qualifications and experience, with eligibility for annual advancement along the 7-step pay scale.
