Job Description
Position Summary
We are seeking a detail-oriented and proactive Service Coordinator to coordinate daily schedules for field technicians, manage customer service requests, and prepare accurate quotes for installations, repairs, and parts. This role will report directly to the division manager and is critical in ensuring smooth operations, efficient use of resources, and high customer satisfaction.
Key Responsibilities
Scheduling & Dispatching
· Plan, organize, and assign daily schedules for installation and service technicians.
· Coordinate with customers to confirm appointments, arrival windows, and service needs.
· Monitor schedules in real time, adjusting for emergencies, delays, or cancellations.
Quoting & Estimating
· Develop accurate quotes for labor, parts, and materials based on job requirements.
· Collaborate with technicians, vendors, and management to determine pricing and availability.
· Track quote approvals, follow up with customers, and convert quotes to work orders.
Customer Service & Communication
· Serve as the primary point of contact for customers regarding scheduling and job updates.
· Communicate job timelines, part lead times, and service expectations clearly.
· Handle escalations with professionalism and provide timely solutions.
Administrative Support
· Maintain service records, job documentation, and scheduling logs in company systems.
· Process purchase orders and coordinate with suppliers for parts procurement.
· Support the division manager with reporting, metrics, and workflow improvements.
Qualifications
- Previous experience in scheduling, dispatching, or service coordination (preferred).
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Excellent communication and customer service skills.
- Proficiency with scheduling/dispatch software, CRM systems, and Microsoft Office Suite.
- Basic understanding of parts, equipment, or technical services (industry-specific training provided).
- Strong attention to detail and accuracy in quoting and documentation.
