Location Priority


This is a remote role designed to support flexibility while maintaining strong team collaboration. Candidates should reside within 100 miles of our Saugerties, NY office. While day-to-day work is performed remotely, periodic onsite attendance may be required for meetings, training, team events, and other business-related activities. Employees residing within 100 miles of the office will be expected to attend monthly in-person meetings.


About the Role


As an Intake Coordinator, you’ll play an important role at the start of the medical records retrieval process, helping ensure client requests are accurate, complete, and ready for fulfillment. This involves reviewing and entering authorizations and requested information, submitting requests to the appropriate facilities, and ensuring completed Intake activities are routed to the appropriate team for follow-up. You’ll also communicate directly with assigned clients, building strong professional relationships while providing timely updates, addressing questions, and helping ensure a smooth Intake process.


This is a great opportunity for someone who enjoys staying organized, managing multiple priorities, and working with clients and internal teams to keep requests moving. Success in this role requires strong attention to detail, the ability to work independently, and a proactive approach to identifying and resolving missing information or processing issues.


Responsibilities include, but not limited to:


  • Communicating with medical facilities and offices to confirm receipt of authorizations
  • Building new cases and services, entering new authorizations and request information within our proprietary software
  • Maintaining consistent communication and building strong relationships with clients to ensure a smooth and timely authorization process
  • Prioritizing and processing authorizations daily, ensuring timely completion and giving Rush, White Glove, and other time -sensitive requests appropriate priority.
  • Reviewing and verifying documentation to ensure requests are complete, accurate, and properly documented prior to submission
  • Building and submitting record requests to the appropriate facility in accordance with established workflows and client requirements
  • Monitoring requests for missing information, incomplete documentation, or processing issues and following up as needed
  • Maintaining accurate case documentation, including uploading supporting documents, bills, records, and related materials when required
  • Communicating with assigned clients regarding request status, missing information, and Intake-related questions
  • Escalating client concerns, processing issues, or workflow barriers as appropriate
  • Adhere to organizational protocols, legal regulations, client-specific requirements, and confidentiality standards when handling sensitive information


Qualifications:


  • 1-3 years of experience in medical authorizations, healthcare administration, medical records, or a related field.
  • Experience and comfortable with multiple modes of communication (phone, email, etc.)
  • Experience in customer service working with legal/healthcare industry preferred
  • Has a proficient understanding of MS Office suite (Excel, Word, Outlook)
  • Not afraid to learn new technology/software
  • Organizational skill and attention to detail
  • College degree preferred


Physical Requirements


Ability to sit, stand, and use standard office equipment for extended periods; occasional lifting up to 20 lbs. may be required.


Working Conditions


Employees residing within 100 miles of the office may be required to maintain regular in-office attendance. Employees residing outside of 100 miles may be required to travel intermittently to the office (travel expenses covered by the company) and attend company-hosted events with advance notice.
