Position Overview We are seeking a highly polished, proactive, and articulate Receptionist to serve as the first point of contact for our client firm. As the face and voice of our Midtown office, you will be responsible for creating a welcoming, seamless, and professional experience for all visiting clients, partners, and vendors. The ideal candidate will possess 1 to 2 years of experience in a fast-paced corporate environment, demonstrate impeccable judgment, and thrive in a high-expectation setting.
Key Responsibilities
- Greet high-profile clients, executives, and visiting counsel with warmth, professionalism, and discretion. Escort guests to conference rooms and offer beverage services.
- Route a high volume of incoming calls swiftly and accurately using a multi-line phone system, taking detailed messages when necessary.
- Manage a busy schedule of meeting rooms using scheduling software, ensuring no double-bookings or conflicts.
- Coordinate with IT, facilities, and external catering vendors to ensure conference rooms are fully prepped for depositions, board meetings, and client lunches.
- Maintain the pristine, professional appearance of the main reception area, waiting lounges, and executive meeting rooms throughout the day.
- Assist with ad-hoc administrative duties, including sorting incoming mail, handling courier deliveries, processing visitor logs, and issuing security badges.
Qualifications & Requirements
- 1 to 2 years of proven reception, front-desk, or administrative experience in a formal corporate setting (corporate law, finance, or executive suite experience is highly preferred).
- Exceptional verbal and written communication skills with a refined, articulate telephone manner.
- A polished, professional demeanor and appearance appropriate for a top-tier legal environment.
- Demonstrated ability to handle highly sensitive information and maintain strict confidentiality.
- Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel) and experience with multi-line phone systems or corporate scheduling software.
- Calm under pressure, highly organized, and capable of multitasking seamlessly in a fast-paced environment.
