Marketing & Communications Specialist
Department: Marketing/Business Development
Location: Kalamazoo, MI
- Own the proposal and qualification response process from initial request through final submission, including RFPs, RFQs, bid references, statements of qualifications and related pursuit materials.
- Collaborate with project pursuit team to draft, edit and assemble clear, accurate and persuasive proposal content while meeting solicitation requirements that are tailored to the client, project and selection criteria.
- Maintain and continuously improve proposal resources, including project profiles, resumes, boilerplate content, references, qualifications, photography and other reusable marketing assets.
- Support project interview and presentation preparation for shortlisted pursuits and other client-facing opportunities including coordination of presentation materials and other deliverables.
- Partner with business development and project teams to develop presentation structure, messaging, visual materials and supporting content.
- Ensure presentations reinforce the proposal strategy, Miller Davis brand and key differentiators.
- Own the company's day-to-day social media and content activities, including planning, drafting, scheduling and publishing content across approved channels.
- Develop content highlighting projects, employees, company culture, community involvement, awards, milestones and other relevant company news.
- Maintain a consistent company voice, visual identity and brand standard across marketing communications.
- Monitor content performance and engagement and use available data to inform future content planning.
- Develop and publish company project and press releases and all external communications.
- Maintain and coordinate day-to-day marketing administration, shared files, templates and asset libraries, while ensuring project data, and other marketing information remain accurate and current.
- Coordinate marketing requests and priorities across departments and communicate status, deadlines and information needs to stakeholders.
- Coordinate with approved external vendors and overflow resources as assigned, including communicating source materials, deadlines and project requirements.
- Manage internal company communications including internal website, employee news, meeting recaps, and company messaging.
- Continuously improve marketing workflows, templates, tools and processes that improve efficiency and consistency.
- Manage marketing budget.
- Support project and community communications as requested.
- Support company events, conferences and related marketing needs.
- Support safety communications and materials in coordination with the appropriate internal stakeholders.
- Perform other marketing and communications responsibilities consistent with the needs of the business.
Qualifications
- Bachelor's degree in marketing, communications, public relations, journalism, business or a related field preferred; equivalent relevant experience may be considered.
- Relevant professional experience in marketing, communications, proposal development or a related field; experience in construction, architecture, engineering or another professional-services environment preferred.
- Demonstrated experience developing proposals, RFP/RFQ responses, presentations or other deadline-driven business development materials strongly preferred.
- Strong business writing, editing, proofreading and verbal communication skills.
- Ability to organize complex information, manage multiple deadlines and coordinate input from multiple stakeholders.
- Strong attention to detail and commitment to accuracy, consistency and professional presentation.
- Working knowledge of Microsoft 365, Adobe Creative Cloud including experience with Adobe InDesign, common marketing, design, presentation, social media and content-management tools.
- Ability to work independently, exercise professional judgment and appropriately escalate competing priorities or resource needs.
