Job Description
We are looking for an Executive Assistant to provide high-level support to senior leadership in Reno, Nevada. This contract opportunity is ideal for a detail-oriented individual who can create order in a dynamic, growing aviation environment while keeping priorities on track. The person in this role will help streamline daily operations, coordinate key initiatives, and ensure leaders have the information and support needed to focus on broader business goals.
Responsibilities:
• Support executive leaders with day-to-day administrative coordination, operational follow-through, and priority management across multiple business functions.
• Oversee complex calendars, schedule meetings, prepare agendas, and monitor action items to help ensure timely completion of next steps.
• Maintain organized digital records, company files, and shared documentation so important business information remains accurate and accessible.
• Assist with special initiatives such as policy documentation updates, workflow enhancements, and other projects that strengthen internal operations.
• Coordinate travel planning and meeting logistics for leadership, including arrangements, scheduling details, and related communications.
• Help resolve administrative matters tied to payroll updates, banking activity, and collaboration with outside business partners.
• Track milestones, deadlines, and deliverables connected to company growth initiatives and federal contract pursuits.
• Provide support for onboarding activities, bookkeeping oversight, and general administrative processes that keep the organization running efficiently.• Demonstrated experience providing executive-level administrative support in a fast-moving business environment.
• Strong calendar management skills with the ability to coordinate meetings, travel plans, and shifting priorities effectively.
• Proven ability to organize records, manage documentation, and maintain confidentiality when handling sensitive business information.
• Experience supporting projects, following up on action items, and keeping multiple stakeholders aligned on deadlines.
• Working knowledge of administrative operations such as payroll coordination, bookkeeping support, or vendor communication.
• Excellent written and verbal communication skills with a detail-focused, experienced approach to interacting with leadership and external contacts.
• Highly organized and self-directed, with strong attention to detail and a proactive approach to improving workflows.
