We’re seeking an organized Logistics Coordinator to manage hydro excavation scheduling, dispatch crews and equipment, coordinate job details, and provide responsive customer service in a fast-paced environment. #INDPKIS

We’re looking for a dependable Dispatch Coordinator – Hydro Excavation Dispatch to support daily scheduling and dispatch operations for hydro excavation services in Lancaster, Ohio. This role coordinates customers, field operators, equipment, and job information to help crews arrive prepared and keep daily operations running efficiently.

What You’ll Do

  • Coordinate daily hydro excavation schedules across multiple branch locations based on customer and operational requirements.
  • Dispatch operators and equipment to job sites while considering availability, travel time, job requirements, and scheduling priorities.
  • Enter new work orders and maintain complete, accurate, and current job information within company systems.
  • Verify customer names, job-site addresses, contacts, start times, purchase orders, and service requirements before scheduled work.
  • Confirm job-specific logistics, including remote hose requirements, water and dump availability, access instructions, and site concerns.
  • Communicate schedule changes, cancellations, delays, and job updates promptly to customers, operators, managers, sales personnel, and supporting departments.
  • Monitor active jobs and assist with resolving scheduling, staffing, equipment, and customer-service issues as they arise.
  • Coordinate rolled, rescheduled, and emergency jobs while keeping affected teams informed of changes and updated expectations.
  • Review upcoming schedules for conflicts involving operator availability, equipment assignments, travel time, and job-specific requirements.
  • Maintain accurate dispatch notes, job records, communications, and end-of-shift information to support continuity between teams.
  • Coordinate equipment relocations between branches and clearly document relocation details, timing, destinations, and operating instructions.
  • Support company procedures and applicable driver qualification, DOT, and Hours-of-Service requirements during scheduling and dispatch activities.
  • Monitor operator and vehicle availability using company software, fleet-management tools, and established communication systems.
  • Provide professional, timely customer service through phone, email, text messaging, and other approved communication platforms.
  • Partner with Operations, Branch Management, Sales, Billing, Maintenance, and field personnel to address daily service and scheduling needs.
  • Help identify scheduling or communication issues that could affect service and work with appropriate teams to resolve them.
  • Perform additional duties and operational projects as assigned to support changing business and customer needs.


What You’ll Need

  • High school diploma or equivalent preferred; previous dispatch, logistics, transportation, construction, utilities, excavation, sanitation, or related experience preferred.
  • Strong organization, attention to detail, problem-solving, and decision-making skills, with the ability to manage multiple requests and changing priorities.
  • Excellent verbal and written communication skills and the ability to remain calm, professional, and service-focused in a fast-paced operating environment.
  • Comfort using computers, email, Microsoft Teams, Microsoft Excel, Samsara, and order-entry, scheduling, fleet-management, or similar systems; ability to enter and review detailed information accurately.
  • Willingness to learn hydro excavation services, equipment, terminology, and field operations; ability to work cooperatively with operators, customers, managers, and office teams and work early mornings, occasional evenings, weekends, or holidays when operational needs require it.
