JOB DESCRIPTION
Wise Staffing Group has immediate openings for an Administrative Support
Our client/branch location requires a detail-oriented professional to oversee day-to-day administrative billing, material tracking paperwork, inventory adjustments, and routine financial processing.

  • Work Location: Decatur, AL
  • Schedule: Monday – Friday, 7:30 AM – 4:30 PM 
  • Pay Rate: $18.00 – $20.00 / hour

POSITION SUMMARY
The Administrative Support role provides administrative, billing, inventory control, and financial operations support. This role is responsible for accurate invoicing, reviewing margin variances, verifying material return documentation, reconciling branch tracking reports, and performing daily cash and check handling procedures.
This position requires strong analytical skills, attention to detail, and the ability to collaborate effectively across warehouse, sales, and accounting departments
.
JOB RESPONSIBILITIES
  • Invoicing & Margin Control:
    • Review daily billing documentation and reconcile Gross Profit (GP) over/under variances.
    • Process buyouts, matching vendor pricing against purchase orders and client billing.
    • Identify and resolve tag issues to ensure item details and material tags align prior to billing.
  • Paperwork Finalization & Inventory Control:
    • Verify and finalize Material Processing documentation to ensure accurate customer invoicing.
    • Process and update Material Return Authorizations (MRAs) and reconcile returned inventory.
    • Perform necessary inventory adjustments in the operating system to maintain stock accuracy.
  • Invoices & Account Statements:
    • Print and distribute client invoices on a daily basis.
    • Prepare and dispatch monthly account statements to support ongoing collections and records.
  • Report Reconciliation & Compliance:
    • Monitor and reconcile Open Order Reports to identify bottlenecks and speed up fulfillment.
    • Follow up on and archive Unscanned Proof of Delivery (POD) records.
    • Audit and attach Unscanned Material Test Reports (CERTS) for quality and compliance standards.
    • Compile and finalize End of Month (EOM) operational and reporting packages.
  • Order Support & Document Reissuance:
    • Reprint Bills of Lading (BOLs) and Picker tickets as required by distribution or warehouse personnel.
    • Process order cancellations in accordance with established procedures.
  • Financial & Cash Operations:
    • Perform daily check scanning and ensure accurate financial record-keeping.
    • Maintain, balance, and disburse Petty Cash with complete logs and receipts.
JOB REQUIREMENTS
  • High school diploma or GED required; Associate degree or administrative certification preferred.
  • 2+ years of experience in billing operations, administrative support, accounts receivable, or inventory control (industrial or staffing background preferred).
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and inventory/ERP management systems.
  • Strong attention to detail and accuracy with data, numbers, and documentation.
  • Effective verbal and written communication skills for cross-departmental collaboration.
  • Ability to prioritize tasks, meet daily invoicing loops, and manage EOM financial deadlines.
  • Dependable attendance and a strong professional work ethic.
PHYSICAL & ENVIRONMENTAL REQUIREMENTS
  • Ability to sit, stand, and work at a computer workstation for extended periods during standard office hours.
  • Ability to occasionally lift, push, or carry files and administrative supplies up to 25 lbs.
  • Ability to work in a standard office setting, with occasional walking through warehouse or processing areas as needed.
