We are looking for an Executive Assistant to support senior leadership in Utah. This contract opportunity with potential for a permanent role is ideal for an experienced, detail-oriented candidate who can manage executive priorities, coordinate board-related activities, and serve as a dependable point of contact for internal and external partners. The role requires sound judgment, strong organization, and the ability to handle sensitive information with discretion while keeping meetings, communications, and administrative operations running smoothly.
Responsibilities:
• Provide direct administrative support to the Executive Director, aligning daily work with evolving priorities and ensuring critical tasks are addressed efficiently.
• Coordinate all logistics tied to Board of Commissioners meetings and events, including scheduling, agenda preparation, assembly of reports and presentation materials, and distribution of final communications.
• Support the development, documentation, and follow-up of board meetings by overseeing minute preparation and helping ensure activities remain consistent with governing bylaws and applicable requirements.
• Partner with leadership to organize outreach efforts and maintain productive relationships with community stakeholders and external organizations.
• Manage meeting space scheduling and confirm rooms are properly prepared with the materials, technology, and supplies needed for each session.
• Arrange executive travel and related itineraries as needed, ensuring plans are accurate, timely, and well organized.
• Respond to shifting demands with urgency and attention to detail, adjusting priorities as needed to meet deadlines and support leadership initiatives.
• Contribute to special assignments and administrative projects that advance departmental and organizational goals.

- Demonstrated experience supporting an executive or senior leader in an administrative or executive assistant capacity.
- Strong background in calendar coordination, executive meetings, and travel planning with close attention to timing and detail.
- Advanced proficiency with Microsoft Office 365 and the ability to learn additional software tools quickly.
- Excellent written and verbal communication skills, with the ability to interact professionally with board members, staff, community partners, and the public.
- Proven ability to work independently, manage multiple priorities, and deliver high-quality results with minimal supervision.
- Strong judgment, discretion, and professionalism when handling confidential or sensitive information.
- Valid driver’s license and reliable transportation.
- Exceptional organizational and analytical skills, including the ability to stay composed and effective in fast-paced or high-pressure situations.
- Bachelor's degree preferred
- 8+ years experience in a similar role
