Job Description
We are looking for an experienced Administrative Assistant III (Contractor) to support daily business operations. This Long-term Contract position is ideal for someone who can manage administrative priorities, communicate effectively across teams, and keep workflows organized in a fast-paced environment. The role involves coordinating schedules, preparing business documents, tracking financial paperwork, and assisting with reporting and budget-related tasks under the direction of a supervisor or manager.
Responsibilities:
• Coordinate calendars, arrange meetings, and manage appointment scheduling to support day-to-day team operations.
• Respond to incoming calls and inquiries professionally, providing accurate information and directing requests as needed.
• Draft, edit, and format correspondence, memos, and other administrative documents with a high level of accuracy.
• Transcribe notes and dictated materials, then organize information into clear records, reports, or presentations.
• Conduct basic research and analysis to help prepare presentations, summaries, and other support materials.
• Produce routine and ad hoc reports while keeping multiple assignments on track within established deadlines.
• Prepare, review, and monitor invoices and expense documentation to ensure timely and accurate processing.
• Assist with compiling financial information and supporting annual budget preparation activities as requested.
• Follow established procedures and supervisor guidance to complete administrative tasks efficiently and consistently.• High school diploma required.
• 5-8 years of administrative support experience or experience in a closely related field.
• Working knowledge of standard office procedures, administrative practices, and business support functions.
• Experience scheduling appointments, preparing presentations, and managing multiple priorities at once.
• Familiarity with invoices, expense reports, and other routine financial documentation.
• Strong written and verbal communication skills, including note-taking, transcription, and document preparation.
• Ability to follow instructions, work within established guidelines, and perform effectively under immediate supervision.
