Job Description
We are looking for a detail-oriented Receptionist to support daily administrative operations for a team in California. This contract opportunity with potential for a permanent role is ideal for someone who enjoys keeping an office organized, communicating with a wide range of stakeholders, and helping business activities run smoothly. The right candidate will bring strong coordination skills, professionalism, and prior exposure to commercial real estate, property management, or a related environment.
Responsibilities:
• Coordinate front-office and administrative activities, including managing schedules, handling correspondence, and maintaining organized records.
• Support day-to-day office operations by preparing documents, tracking key information, and ensuring supplies and shared spaces are well managed.
• Assist with tenant, vendor, or client communications by responding to inquiries, relaying updates, and directing requests to the appropriate team members.
• Prepare reports, letters, and other business materials with accuracy and professionalism.
• Help organize meetings, appointments, and office events, including calendar management and logistical support.
• Maintain digital and physical filing systems so important documents remain accessible, current, and properly stored.
• Provide administrative support to real estate or property management teams, including data entry, document coordination, and follow-up on outstanding items.
• Contribute to process efficiency by identifying routine administrative needs and helping keep workflows on track.
• Experience in an administrative, office support, or assistant position.• Background in commercial real estate, property management, or a related industry is strongly preferred.
• Bilingual Spanish communication skills are preferred.
• Strong organizational abilities with careful attention to detail and accuracy.
• Proficiency with standard office software, including word processing, spreadsheets, and email platforms.
• Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced setting.
• Strong written and verbal communication skills with a customer-service mindset.
