Operations & Executive Assistant 

San Francisco, CA | Full-Time | On-Site | $130K–$170K + Carry + Excellent Benefits 

Our client, a high-growth venture capital firm, is seeking a proactive, polished, and highly resourceful Operations & Executive Assistant to help drive the day-to-day operations of its growing San Francisco office. This is a multifaceted, high-ownership opportunity for someone who enjoys working at the intersection of executive support, investment team coordination, office operations, and events. 


Reporting to the San Francisco Co-Founder & Managing Partner, this individual will provide high-level executive support while partnering with the broader investment and operations teams to build the systems, processes, and workplace experience that support the firm's continued growth. The ideal candidate is a natural problem-solver who anticipates needs, takes initiative, and brings structure to a fast-moving environment. Equally comfortable managing executive priorities, coordinating a memorable stakeholder experience, and rolling up their sleeves to tackle operational challenges, this person will play an integral role in shaping the firm's San Francisco presence and culture.

 

What You’ll Do 

Executive Support 

  • Manage the Co-Founder & Managing Partner's complex calendar, balancing competing priorities and coordinating internal and external meetings. 
  • Serve as a trusted partner in managing daily priorities, anticipating needs, and ensuring important commitments stay on track. 
  • Oversee inbox organization, meeting preparation, follow-ups, and related administrative workflows. 
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, transportation, and schedule changes. 
  • Process and track expenses while maintaining accurate records and ensuring timely follow-through. 
  • Manage meeting logistics and communications across internal teams and external stakeholders. 

Investment Team Support 

  • Provide high-touch administrative, travel, and logistical support to the San Francisco investment team. 
  • Coordinate team schedules, meetings, travel arrangements, and day-to-day logistics. 
  • Build and maintain operational resources, including trackers, Notion pages, templates, and documentation. 
  • Identify opportunities to streamline workflows, strengthen communication, and improve team efficiency. 
  • Partner with team members to anticipate needs and ensure smooth execution across ongoing priorities. 

Office Management & Operations 

  • Help establish and manage the firm's growing San Francisco office, supporting its day-to-day operations and long-term infrastructure. 
  • Oversee office logistics, vendor relationships, facilities coordination, supplies, and workplace maintenance. 
  • Coordinate office setup, improvements, and facilities-related projects. 
  • Create a welcoming, organized, and polished office environment for employees and visiting stakeholders. 
  • Support new-hire onboarding and contribute to a collaborative, high-performing office culture. 
  • Take ownership of special projects and operational initiatives, helping turn ideas into organized, scalable processes. 


Events & Stakeholder Experience 

  • Plan and execute bespoke dinners, founder gatherings, investor events, and other relationship-building programs. 
  • Own event logistics from concept through execution, including vendor sourcing, invitations, scheduling, guest coordination, and on-site details. 
  • Build strong relationships with founders, portfolio executives, investors, and other senior stakeholders through thoughtful, professional communication. 
  • Deliver seamless, detail-oriented experiences that reflect the firm's standards and strengthen its relationships across the venture ecosystem. 


Cross-Office Operations 

  • Collaborate closely with the Southern California operations team to align processes and establish consistent operating standards across offices. 
  • Help develop shared playbooks, workflows, systems, and best practices that can scale with the firm's growth. 
  • Contribute ideas and implement improvements that strengthen coordination, efficiency, and operational consistency across the organization. 

 

What We’re Looking For 

  • Previous experience in an Executive Assistant, Operations, Office Management, Workplace Experience, or similar role, ideally within venture capital, private equity, technology, a founder-led company, or another high-growth environment.
  • Experience supporting senior executives, founders, or investment professionals preferred.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple workstreams and competing priorities.
  • Proactive, resourceful, and solutions-oriented, with a strong sense of ownership and the ability to anticipate needs without waiting for direction.
  • Excellent judgment and discretion when handling confidential information and sensitive business matters.
  • Strong written and verbal communication skills, with the ability to build relationships across a wide range of personalities and seniority levels.
  • High emotional intelligence and a collaborative, service-oriented approach; polished and professional without ego.
  • Comfortable navigating ambiguity, shifting priorities, and evolving responsibilities in a fast-paced environment.
  • A builder's mindset, with an interest in creating systems, improving processes, and establishing scalable operational practices.
  • Tech-savvy and eager to adopt new tools to improve organization, collaboration, and efficiency.
  • Proficiency with Google Workspace, Slack, and Notion preferred; familiarity with Adobe Creative Suite is a plus.
  • Comfortable leveraging AI tools to streamline workflows, automate repetitive tasks, and improve productivity.
  • Strong event planning, project management, and logistical coordination skills, with a commitment to delivering a high-quality experience.

 

Schedule & Location 

Full-time, on-site position based in the Presidio, San Francisco, CA. 

 

Compensation & Benefits 

  • $130,000–$170,000 annually, depending on experience and qualifications. 
  • Carry participation.
