Mandolin HVAC & Construction is seeking a detail-oriented and organized Compliance Specialist to oversee vendor compliance, insurance requirements, and adherence to company policies and procedures.
The ideal candidate will be comfortable working with vendors, reviewing documentation, tracking expiration dates, identifying compliance issues, and following up to ensure requirements are met.
Key Responsibilities
- Manage and maintain vendor compliance requirements and documentation.
- Collect, review, and maintain vendor Certificates of Insurance (COIs) and other required insurance documentation.
- Monitor insurance coverage, expiration dates, limits, and required endorsements.
- Follow up with vendors regarding missing, expired, or insufficient documentation.
- Ensure vendors meet company requirements before beginning or continuing work.
- Maintain accurate vendor compliance records, spreadsheets, and tracking systems.
- Review vendor documentation for accuracy and completeness.
- Communicate compliance requirements to vendors and internal departments.
- Monitor adherence to company policies, procedures, and compliance standards.
- Identify policy or compliance concerns and report them to management.
- Assist management with addressing and documenting compliance issues.
- Help develop, maintain, and improve company compliance procedures.
- Conduct periodic reviews of vendor files to ensure documentation remains current.
- Assist with audits and provide compliance documentation when requested.
- Maintain confidentiality of company and vendor information.
- Perform other compliance and administrative duties as assigned.
- Previous experience in compliance, vendor management, insurance administration, construction administration, or a related field preferred.
- Strong attention to detail and organizational skills.
- Experience reviewing insurance documentation and Certificates of Insurance preferred.
- Ability to track multiple vendors, requirements, and expiration dates.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office, Excel, email, and computer-based recordkeeping systems.
- Ability to follow established procedures and hold vendors accountable to company requirements.
- Strong follow-up skills and the ability to meet deadlines.
- Ability to work independently while also communicating effectively with management and other departments.
