Job Description
We are seeking an organized, adaptable, and detail-oriented Coordinator to support day-to-day operational activities in both office and event-site environments. This position provides administrative and logistical support across event production, labor coordination, freight, safety, and onsite operations.
The ideal candidate is comfortable working in a fast-paced environment, managing multiple priorities, and adjusting their schedule based on operational and event needs.
Key Responsibilities
- Review, organize, and submit union payroll information accurately and within established deadlines.
- Assist with payroll questions and help resolve issues involving union labor personnel.
- Track and document small-package deliveries, including shipments from major carriers, at event sites.
- Ensure timely and accurate submission of information related to labor tracking and reporting.
- Assist union employees with completion of new-hire documentation and required paperwork.
- Provide administrative support for onsite safety, security, and loss-prevention activities.
- Enter and maintain Certificates of Insurance and professionally communicate compliance issues or missing documentation to event participants.
- Provide operational and administrative support at offsite warehouse locations as needed.
- Assist with vehicle and driver check-in at staging and marshalling areas for event loading and unloading.
- Enter and maintain shipping documentation, including Bills of Lading, within internal operating systems.
- Complete post-event files and documentation accurately and within required deadlines.
- Collaborate with other Operations Coordinators and provide additional support based on operational needs.
- Assist with administrative processing of rental, supply, service, and purchasing requests.
- Maintain confidentiality, professionalism, and integrity when handling company, employee, and customer information.
- Perform additional administrative and operational duties as assigned by management.
Qualifications
- High school diploma or equivalent required; college degree preferred.
- Valid driver's license required.
- Previous experience in event operations, trade shows, warehousing, logistics, transportation, or a related environment is preferred but not required.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Ability to prioritize and manage multiple assignments in a deadline-driven environment.
- Comfortable working both independently and as part of a team.
- Ability to adapt quickly to changing priorities and schedules.
- Basic computer and data-entry skills with the ability to learn internal systems.
Schedule & Work Environment
This position requires schedule flexibility based on event and operational needs. Candidates must be available to work varying shifts, including nights, weekends, and occasional holidays. Schedule changes may occur with limited notice.
Typical non-event hours are approximately 8:00 AM–4:30 PM, with a hybrid work environment when operational needs allow.
This role may involve working in a combination of office, warehouse, staging, and live event environments.
