Job Description
We are looking for an experienced Executive Assistant to provide high-level support to senior leadership within a mission-driven non-profit organization in Baltimore, Maryland. This position plays a central role in keeping executive operations organized, responsive, and aligned with institutional priorities while supporting board-related activities and day-to-day office coordination. The ideal candidate brings sound judgment, strong administrative leadership, and the ability to manage sensitive matters independently in a fast-paced, on-site environment.
Responsibilities:
• Coordinate the President’s calendar, meetings, and priorities to ensure efficient scheduling and smooth daily operations.
• Provide administrative and operational support for the Office of the President, maintaining a thorough and well-organized environment.
• Prepare correspondence, reports, presentation materials, and other documents using Microsoft Office tools with a high level of accuracy.
• Support Board of Trustees activities by organizing meeting logistics, distributing materials, and responding to trustee-related administrative needs.
• Monitor budgets, process expense documentation, and assist with financial tracking in accordance with internal procedures.
• Manage office records, scan and organize documentation, and maintain confidential files with discretion and accuracy.
• Partner with institutional leaders and administrative teams to advance projects, follow up on action items, and keep priorities moving forward.
• Use systems such as Workday to assist with financial, payroll, and related administrative processes as needed.
• Demonstrated experience supporting senior executives in an administrative or executive assistant capacity.• Proficiency with Microsoft Office, including Word, Excel, and Office 365 applications.
• Experience preparing and reconciling expense reports and assisting with budget administration.
• Familiarity with budget monitoring, financial processes, and administrative recordkeeping.
• Ability to handle confidential information with professionalism, discretion, and sound judgment.
• Strong organizational skills with the ability to manage multiple priorities and work with limited supervision.
• Experience using Workday, including financial management or payroll functions, is preferred.
• Background supporting leadership within an educational institution or similarly complex organization is highly valued.
