Job Description
We are looking for a detail-oriented Executive Assistant to support senior financial leadership within a fast-paced aerospace environment. This long-term contract position is ideal for someone who can manage competing priorities, maintain strong organization, and handle sensitive information with discretion. The role will focus on keeping daily executive operations running efficiently through scheduling, communication coordination, document preparation, and travel support.
Responsibilities:
• Oversee the executive calendar by arranging appointments, aligning meeting schedules, and helping maximize time across internal and external commitments.
• Prepare presentations, reports, and other business documents to support leadership discussions, financial reviews, and stakeholder communication.
• Assist with gathering and organizing financial information so leadership has accurate materials available for planning and decision-making.
• Coordinate business travel logistics, including air travel, lodging, ground transportation, and related itinerary details.
• Serve as a point of contact for executives, employees, and outside partners by managing requests and facilitating timely follow-up.
• Record, prepare, and distribute meeting minutes while tracking action items and supporting follow-through on key discussions.
• Process and organize expense reporting documentation with accuracy and attention to deadlines.
• Support office administration by maintaining files, ordering supplies, and assisting with events, conferences, and special projects as needed.
• Handle confidential records and sensitive communications with professionalism, sound judgment, and a high level of discretion.• 2+ years of experience in executive support, administrative coordination, or a closely related office support role.
• Strong capability with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Demonstrated experience with calendar management, meeting coordination, and travel arrangement support.
• Ability to prepare accurate meeting minutes, distribute notes, and manage follow-up details effectively.
• Excellent organizational skills with the ability to prioritize multiple assignments and meet deadlines independently.
• Clear written and verbal communication skills, along with a detail-oriented interpersonal approach.
• High level of discretion and reliability when working with confidential business information.
• Bachelor’s degree in Business Administration, Finance, or a related field is preferred.
