Charlie Gilmur with Robert Half is searching for an experienced and resourceful Executive Assistant to provide high-level support to senior leadership in Oregon. This role is ideal for someone who brings strong organizational discipline, communicates with professionalism, and keeps shifting priorities on track in a fast-moving business environment. The successful candidate will serve as a dependable partner to executives by coordinating logistics, preparing materials, and helping leadership stay focused on critical objectives.


Responsibilities:

• Oversee demanding executive calendars by arranging appointments, confirming priorities, and adjusting schedules to address changing business needs.

• Plan and manage travel logistics for leaders, including flights, lodging, ground transportation, itineraries, and related expense documentation.

• Draft, edit, and format business correspondence, presentations, reports, and briefing materials for meetings and leadership communications.

• Coordinate internal and external meetings, leadership offsites, board-related sessions, and special events to ensure smooth execution.

• Monitor follow-up items, milestone dates, and ongoing initiatives so executives remain informed and prepared on key commitments.

• Review incoming messages and requests, route matters appropriately, and bring urgent issues to leadership attention when needed.

• Handle sensitive company and personnel information with a high level of discretion and professionalism.

• Provide administrative and project support across teams while assisting with general office coordination as business needs evolve.

• At least 3 years of experience in an Executive Assistant, Senior Administrative Assistant, or comparable support role.
• Demonstrated success providing direct support to C-suite leaders, vice presidents, or other senior executives.
• Strong ability to manage multiple priorities, stay organized, and meet deadlines in a fast-paced setting.
• Excellent written and verbal communication skills with the ability to produce clear, well-structured documents.
• Advanced knowledge of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
• Proven ability to work with confidential information while exercising sound judgment and discretion.
• Strong attention to detail, problem-solving skills, and experience coordinating meetings, travel, and executive communications.
