Operations Specialist

Position Overview

Amstat Industries is seeking a dependable, organized, and hands-on customer service person to join our small, growing team.

This is a full-time in office position. Primary responsibilities are managing Amstat's annual customer renewal process, developing a working knowledge of the company's day-to-day operations as well as managing vendor portals, providing backup support for customer service, order processing, purchasing, shipping and website administration.

Customer Renewals

• Identify upcoming renewals and review customer/order history.
• Prepare renewal communications, quotes, and orders.
• Follow up with customers by email and telephone.
• Process renewal orders and coordinate fulfillment.
• Maintain accurate customer and renewal records.
• Identify additional customer needs or opportunities and communicate them to management or sales.

Vendor Portals

• Maintain and update vendor/customer portals.

Customer Service & Order Processing

• Provide coverage for customer service.
• Enter sales orders, create invoices, and assist with quotes and order status inquiries.
• Create and process purchase orders.
• Maintain accurate customer and order information.

Shipping & Warehouse

• Provide shipping coverage during employee absences or periods of increased workload.
• Pick, pack, and ship customer orders when needed.
• Assist with receiving and inventory.

General Operations

• Develop a working knowledge of Amstat's products, customers, vendors, systems, and day-to-day processes.
• Provide cross-functional support when other team members are absent or workloads require additional assistance.

Qualifications                               

• 2+ years of experience in customer service, sales support, office operations, ecommerce, or a similar role preferred.
• Excellent communication skills and a professional, customer-focused approach.
• Comfortable working independently and managing multiple priorities.
• Strong organizational skills, attention to detail with orders, pricing, customer information, and inventory.
• Proficient with Microsoft Office and general computer applications.
• Experience with QuickBooks, ecommerce platforms, or vendor portals is a plus.
• Willingness and ability to perform both office and hands-on warehouse/shipping tasks as needed.
