Office Manager Assistant

Supports the Office Manager in overseeing the day-to-day administrative operations of McDonell Electric, Inc. This role provides critical support across payroll, accounts payable and receivable, human resources, vehicle management, and project documentation.

Key Responsibilities:

Payroll processing support which includes DIR and SURGE reporting.

Benefits Administration support

Accounts Payable support

Accounts Receivables support

Human Resources support

Maintains Certificates of Insurance for active projects

Preparation and distribution of preliminary lien notices

Monthly reconciliations of bank accounts, credit cards and auto loans

Preparation and submission of monthly and quarterly sales tax filings

Maintains office supplies including water and breakroom items

Assist with preparation and filing of 1099 forms

Qualifications:

Experience with accounting and payroll systems (QuickBooks preferred)

Working knowledge of office administration and basic HR practices

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Ability to handle confidential and sensitive information with discretion

Knowledge of California labor laws and construction lien processes is a plus

Education and Experience:

Associate’s degree in Business Administration, Accounting, or related field required

1–3 years of administrative or office experience, preferably within the construction or electrical contracting industry
