Job Description
Insight Global is seeking 1 Senior Medical Secretary to support a nationally recognized Head & Neck practice within a leading hospital system in the Baltimore area. The practice is comprised of approximately 40 team members and 5 physicians specializing in Head & Neck Surgery, Voice Disorders, and Performing Arts Medicine. This role will primarily support the Head & Neck team and serve as a critical point of contact for patients seeking specialized care.
The Senior Medical Secretary will be responsible for managing inbound patient scheduling, coordinating referrals, obtaining medical records, verifying insurance information, and ensuring accurate documentation throughout the patient journey. This is a highly administrative, patient-facing role that requires exceptional communication skills, critical thinking, and attention to detail.
The ideal candidate is compassionate, organized, and customer-service oriented, with the ability to navigate sensitive patient situations while maintaining professionalism and efficiency.
Key Responsibilities
- Manage inbound calls from new and existing patients seeking Head & Neck services
- Schedule new patient consultations and follow-up appointments according to provider and department guidelines
- Conduct patient intake screenings to assess appointment urgency and appropriate scheduling needs
- Review referral work queues and coordinate referrals received from external physician offices
- Request, obtain, and organize medical records, physician notes, imaging reports, and supporting documentation from referring providers
- Register patients and verify demographic and insurance information
- Document all patient interactions accurately and thoroughly within the electronic medical record system
- Maintain compliance with departmental scheduling protocols and documentation standards
- Coordinate with physicians, clinical staff, and administrative team members to ensure efficient patient access to care
- Support department productivity and patient satisfaction goals
