Job Description
We are looking for an experienced Administrative Assistant to provide high-level support to executive leadership in Washington, District of Columbia. This Long-term Contract position is ideal for someone who thrives in a fast-paced, in-person environment and can manage sensitive information with professionalism and discretion. The role focuses on coordinating executive operations, preparing business materials, and keeping priorities organized across multiple stakeholders.
Responsibilities:
• Prepare and refine confidential correspondence, reports, meeting materials, and presentations for executive leaders.
• Coordinate calendars, meetings, and large-scale conference arrangements while ensuring all logistics run smoothly.
• Record meeting notes accurately and produce clear follow-up documentation, including transcribed minutes when needed.
• Manage domestic and international travel planning, including itineraries, scheduling changes, and related support tasks.
• Compile, analyze, and present information for leadership reporting and other business decision-making needs.
• Respond to sensitive requests with sound judgment, prioritizing tasks and determining the best path for timely completion.
• Support executives and business teams with a broad range of administrative activities that help maintain operational efficiency.
• Address complex administrative issues by identifying practical solutions and improving day-to-day support processes.
• Work closely with cross-functional partners and stakeholders to help the team meet shared goals and business objectives.• High school diploma or equivalent with at least 5 years of relevant administrative or executive support experience.
• Strong working knowledge of administrative practices, business procedures, and office support functions.
• Advanced proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
• Proven ability to communicate clearly when handling complex or highly confidential information.
• Excellent organizational and planning skills with strong attention to detail.
• Solid mathematical ability, including working with percentages, markups, discounts, and other business figures.
• Demonstrated success collaborating with executives, internal teams, and a variety of stakeholders.
• Detail-oriented and approachable, with strong interpersonal skills and sound judgment.
