Job Description

We are seeking a Bilingual Legal Receptionist (English/Spanish) to serve as the welcoming face and voice of our firm. This position is often the first point of contact for prospective clients, current clients, attorneys, court personnel, vendors, and other visitors, so professionalism, discretion, and excellent communication skills are essential. 

The ideal candidate is friendly, dependable, detail-oriented, and comfortable working in a fast-paced professional environment. This position involves much more than traditional reception duties and provides an opportunity to gain hands-on experience in a law office while supporting attorneys and legal staff across multiple practice areas.

Responsibilities

  • Greet clients and visitors and manage the front desk in a professional, courteous, and welcoming manner.
  • Answer and manage a multi-line telephone system, screen and route calls appropriately, and assist both English- and Spanish-speaking callers.
  • Conduct preliminary client intake, gather relevant case and contact information, and accurately enter information into the firm's intake and case-management systems.
  • Schedule and confirm attorney consultations, appointments, and client meetings.
  • Provide bilingual assistance to clients and translate documents and correspondence between English and Spanish as needed, including translation services performed as a billable service for firm clients.
  • Receive, organize, and distribute incoming mail and deliveries and prepare outgoing mail and correspondence.
  • Assist with filing legal documents with local courts and other agencies; training will be provided.
  • Perform general administrative and clerical duties, including scanning, copying, filing, document preparation, data entry, and maintaining organized electronic and physical records.
  • Maintain confidentiality of client and firm information and communicate professionally with clients, attorneys, court personnel, vendors, and other members of the public.
  • Provide administrative support to attorneys, paralegals, and staff and assist with additional office duties and special projects as needed.

Required:

  • Fluent in English and Spanish, with the ability to communicate professionally in both languages.
  • Strong verbal and written communication skills.
  • Excellent interpersonal and customer-service skills.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple tasks and priorities in a fast-paced office environment.
  • Ability to handle confidential and sensitive information appropriately.
  • Comfortable using computers, email, office equipment, and standard office software.
  • Dependable and punctual with a professional demeanor.
  • Ability to work cooperatively as part of a team while also handling assigned responsibilities independently.
  • Willingness to learn new software, procedures, and legal-office processes.
  • Previous experience in a legal or office setting is preferred but not required.
