We are seeking an Administrative Coordinator to join our team! You will perform clerical and administrative functions in order to drive company success.

Responsibilities:

  • Maintain all E-Files on people served ensuring all documents are up to date, functional and are filed in an accurate and timely manner.
  • Maintain all Hard Files on sub-contractors and employees ensuring all documents are up to date, functional and are filed in an accurate and timely manner.
  • Notify and request from Case Managers required documentation (per DHI standards and outlined in DHI matrix) that is to be housed in E-Files for people AOD, LLC provide services for.
  • Notify and request from AOD Family Living Providers and Residential Companies whom we share clients with documents outlined in the DHI matrix and must be housed in AOD Family Living Home Books and E-Files at the AOD office.
  • Ensure that CPR/First Aid, TB Shot, Driver License, Insurance Cards and Sub-contract approvals (sub-contractors only) are up to date and a copy is filed in their Hard File housed at AOD, LLC office.
  • Notify AOD trainer of expired trainings for all employees and sub-contractors.
  • Provide support and guidance to all new employees and sub-contractors. Conduct employee and Contractor Orientations.
  • Attend office meetings.
  • Maintain AOD E-File
  • Ensure ISTs are up to date, complete and according to person’s ISP Year.
  • Service Coordinating for designated individuals receiving services through AOD, LLC
  • May need to use personal vehicle when AOD, LLC vans and cars are receiving maintenance.
  • Other duties as assigned by AOD, LLC Executive Director.
  • Assist with Direct Support with Supported Employment people when needed.
  • Draft correspondences and other formal documents
  • Plan and schedule appointments and events
  • Greet and assist onsite guests
  • Answer inbound telephone calls
  • Develop and implement organized filing systems.
  • Perform all other office tasks.

Qualifications:

  • High School Diploma
  • At least two years of college.
  • Previous experience in office administration or other related fields
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills
