Compensation68,000–78,000 annually, depending on experience.

About the RoleLandmarc is seeking a Portfolio Community Manager to oversee the daily operations of multiple community associations. You will work with Boards, homeowners, residents, and vendors to carry out Board decisions, maintain community standards, and deliver responsive service.
This role suits someone who takes initiative, evaluates problems thoughtfully, and keeps work moving across competing priorities. You will combine independent judgment with careful attention to budgets, governing documents, and records, anticipating needs while following through on daily commitments.
An anticipated portfolio includes approximately 15–20 communities and/or 1,500–2,000 units, with assignments based on community size, complexity, service level, and manager experience. Communities may include single-family homes, townhomes, and condominiums.
Work Schedule and SupportFully in office, Monday through Friday, 8:00 a.m.–5:00 p.m. Eastern Time, including during onboarding.
Approximately six to eight evening Board meetings per month, conducted in person or virtually.
Community visits at least monthly, with properties generally located within 50–60 miles of the Fredericksburg office. Landmarc aims to group assignments geographically.
Support from a full accounting team, including an assigned accountant and accounts manager for each community.
Administrative specialists assist with calls, correspondence, and designated action items.
A dedicated compliance inspector handles most routine monthly compliance inspections and resale inspections.
Salaried, exempt position with no direct supervisory responsibilities.
Core Responsibilities Board and Community ManagementManage daily operations across the assigned portfolio in accordance with each association’s needs and management agreement.
Execute Board decisions promptly and professionally, coordinating next steps and tracking completion.
Prepare and distribute Board packets within contractual timelines.
Attend meetings according to each Board’s approved schedule and communicate information clearly to support informed decisions.
Maintain familiarity with each association’s governing documents and apply them to daily management.
Communication and Client ServiceRespond to phone calls, emails, and software action items in accordance with company expectations.
Provide professional, attentive service to Board members, homeowners, residents, and other stakeholders.
Evaluate concerns, recommend practical solutions, and coordinate resolution with the appropriate parties.
Communicate facts, expectations, and progress clearly while maintaining respectful working relationships.
Property, Vendor, and Project OversightVisit each managed community at least monthly and inspect properties and worksites as needed to monitor conditions and work performed.
Maintain and expand knowledge of each community’s physical condition and history to support future planning.
Solicit proposals for projects, jobs, and service contracts as directed by the Board.
Oversee contractors, vendors, and association projects, monitoring progress and addressing outstanding issues.
Anticipate emerging needs and bring timely recommendations to the Board.
Financial ManagementWork with the accounting team to monitor each association’s financial position and budget performance, identifying potential overruns and supporting Board-approved expense management.
Work with each Board to prepare annual budgets within the timelines required by governing documents.
Review, code, and approve invoices according to the approved annual budget.
Obtain Board approval for nonbudgeted expenses.
Documentation and SystemsPrepare and maintain association disclosure packages as required by the Virginia Property Owners’ Association Act and/or Virginia Condominium Act.
Maintain accurate records and use the company’s system of record to document activity and track outstanding work.
Coordinate with administrative support and use organized workflows to manage deadlines and details across multiple associations.
Identify opportunities to improve processes while maintaining accountability for completed work.
Perform other related duties as assigned.
Required QualificationsHigh school diploma or GED.
One to two years of industry experience and/or relevant experience and certifications, such as CMCA and AMS.
Excellent written and verbal communication, including grammar, spelling, and formatting.
Strong attention to detail and the ability to complete a high volume of work accurately.
Ability to plan independently, continuously reprioritize, and function effectively in a fast-paced, sometimes stressful environment.
Commitment to customer satisfaction and a professional appearance and attitude.
Intermediate to advanced computer skills, proficiency with Microsoft Office or comparable software, and the ability to learn new systems.
Valid driver’s license, clean driving record, and reliable vehicle.
Preferred QualificationsAssociate or bachelor’s degree.
CMCA and AMS designations.
Project management experience.

Physical RequirementsThe role involves extended computer and phone work, including sitting for six to eight hours and intermittent standing or walking for two to three hours during the workday. Responsibilities may also include:
Occasionally lifting, carrying, pushing, or pulling materials weighing up to 30 pounds.
Bending, stooping, kneeling, and reaching to access files and supplies.
Repetitive hand and wrist movements and fine motor tasks for keyboarding, document handling, filing, and office equipment.
Navigating ramps, gravel lots, building entrances, and small steps during community visits.
Reading screens and printed materials and concentrating on detailed work while managing interruptions.
Working in a standard office environment and occasionally outdoors in varying weather.
Facilitating Board meetings through spoken communication or other effective methods and attending designated meeting locations outside standard working hours.
