Parts & Service Solutions Coordinator

Access, Inc. | Neenah, WI

Build Something Bigger Than a Parts Counter

At Access, we support mission-critical power, cooling, monitoring, and infrastructure systems that organizations depend on every day. We're looking for someone who enjoys solving technical puzzles, staying organized, building customer relationships, and taking ownership of a warehouse operation that directly impacts service success.

This is not a traditional warehouse position and it's not a traditional parts counter role.

You'll be responsible for researching and identifying replacement parts, managing warehouse operations, coordinating manufacturer returns, supporting technicians in the field, and helping customers proactively replace aging equipment before it fails.

If you enjoy variety, problem-solving, customer interaction, and being the person others rely on to get things done, we'd like to talk with you.

What You'll Do
Parts Research & Technical Support

  • Research replacement parts using equipment model numbers, serial numbers, service manuals, and manufacturer resources
  • Identify correct replacement components and verify compatibility
  • Work closely with technicians to determine parts requirements
  • Research alternative and upgraded replacement options
  • Maintain parts reference materials and technical documentation

Warehouse & Inventory Management

  • Take ownership of warehouse organization, cleanliness, and safety
  • Maintain accurate inventory records and stock counts
  • Manage receiving, stocking, staging, and shipment tracking
  • Conduct cycle counts and inventory audits
  • Ensure all inventory movement is documented and tracked

Manufacturer Returns & Vendor Coordination

  • Manage warranty claims and manufacturer return processes
  • Initiate and track RMAs (Return Merchandise Authorizations)
  • Package and ship returns correctly
  • Follow up on outstanding credits and return status
  • Build strong relationships with manufacturers and suppliers

Logistics & Forklift Operations

  • Operate a forklift to unload incoming shipments
  • Receive and inspect deliveries against purchase orders
  • Coordinate parts deliveries to technicians and job sites
  • Support expedited and emergency shipping requirements
  • Maintain warehouse safety standards

Parts Sales & Customer Support

  • Identify replacement and upgrade opportunities from service activity
  • Prepare customer quotations and parts proposals
  • Follow up on open opportunities
  • Help customers plan lifecycle replacements
  • Support growth of Access' parts business

Customer Relationship Development

  • Build relationships with facility managers and maintenance teams
  • Visit customer sites as needed
  • Identify upcoming maintenance and replacement needs
  • Position Access as a trusted service and parts partner

What Success Looks Like

  • Accurate parts identification
  • High inventory accuracy
  • Well-organized warehouse operations
  • Reduced technician downtime waiting for parts
  • Strong manufacturer relationships
  • Increased parts sales revenue
  • Successful processing of warranty and manufacturer returns
  • Excellent customer experience

What We're Looking For - Required Skills & Experience

  • Strong organizational skills and attention to detail
  • Mechanical aptitude and technical curiosity
  • Ability to research and interpret technical documentation
  • Experience working with inventory, parts, materials, or equipment
  • Strong communication and customer service skills
  • Ability to manage multiple priorities and follow through on commitments
  • Valid driver's license

Preferred Experience

  • Parts, warehouse, logistics, or inventory management experience
  • Experience supporting industrial, electrical, HVAC, power generation, telecom, or mechanical equipment
  • Forklift experience or certification
  • Experience working with manufacturers, vendors, or suppliers
  • Experience preparing quotations or supporting sales activities

Physical Requirements

  • Ability to lift and move materials as required
  • Ability to work in both warehouse and office environments
  • Comfortable operating forklifts and material-handling equipment
  • Ability to load, unload, organize, and stage inventory

Why Join Access?

  • Variety in your day: warehouse, technical research, customer interaction, and operations
  • Opportunity to own and improve critical business processes
