What You’ll Be Doing…  

As a key member of our Human Resources team, you will be responsible for:

Payroll  

  • Enter/update New Hire information in HRIS system.
  • Audit and approve payroll workflows.
  • Review timecards, troubleshoot issues, run reports, review, and correct data to ensure data integrity after processing payroll.
  • Run post payroll reports and upload data to vendors, help with payroll reconciliation, GL accuracy, copy and file payroll supporting documents.
  • Process wage garnishments and notify agencies of terminations.
  • Responsible for completing Unemployment and verification of employment forms.
  • Assist with quarter and year-end tax filing processes.
  • Run reports and create ad hoc reports to support department and business needs.
  • Work closely with associates and managers to resolve system and payroll questions.

HR Administration & Employee Records

 

  • Maintain employee personnel, payroll, and HR files while ensuring accuracy, compliance, and confidentiality.
  • Process employee transactions and workflows within the HRIS system.
  • Administer new hire onboarding activities, including new hire documentation, I-9 completion, and employee record creation.
  • Manage document retention, record maintenance, scanning, filing, and shredding processes.
  • Maintain organizational charts, work instructions, and HR process documentation.

Onboarding 

 

  • Coordinate and support the end-to-end candidate onboarding experience.
  • Prepare onboarding materials, employee resources, company swag, and pre-employment documentation.
  • Partner with hiring managers, Payroll, IT, and other departments to ensure a successful new hire experience.

Employee Programs & Recognition 

 

  • Administer employee recognition and service award programs, including milestone celebrations and communications.
  • Coordinate employee engagement initiatives, birthday recognition, bereavement support, and new baby gifts.
  • Prepare and publish employee announcements through electronic and physical communication channels.

Vendor, Invoice & Budget Administration 

 

  • Process and manage HR vendor invoices, purchase orders, and payment requests.
  • Maintain monthly HR credit card reports, expense tracking, and budget documentation.
  • Coordinate with external vendors supporting benefits, onboarding, safety programs, and employee services.

Safety & Access Administration 

 

  • Manage employee identification badges and building access permissions.
  • Administer safety shoe and safety glasses programs, including vendor coordination and voucher tracking.
  • Maintain employee property tracking and reimbursement records.

Communication & Customer Service 

 

  • Manage the HR department phone line, shared email inbox, incoming mail, and package distribution.
  • Respond to employee inquiries and route requests appropriately.
  • Maintain a high level of professionalism, discretion, and confidentiality when handling sensitive employee information.

Event & Program Coordination 

 

  • Plan and coordinate HR-related events, including service award celebrations, new hire activities, engagement meetings, flu clinics, and employee recognition events.

Systems & Process Improvement 

 

  • Administer employee alert and communication systems.
  • Support HR technology initiatives, system integrations, audits, and process improvement projects.
  • Participate in HR projects focused on operational efficiency, compliance, onboarding enhancements, and employee experience improvements.

Compliance & Audit Support 

 

  • Maintain compliance with employment recordkeeping requirements.
  • Conduct and support I-9 audits and corrective actions.
  • Ensure HR processes align with company policies and regulatory requirements.
  • Provide a high level of customer service to all associates.
  • Other duties as required for efficient functioning and servicing of internal and external associates and customers.

What We’re Looking For… 

We’re seeking a team member with: 

  • Minimum of 2 years of administrative, human resources, payroll, recruiting, or related business support experience.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Experience working with HRIS, payroll, applicant tracking, or employee management systems.
  • Strong organizational, time management, and customer service skills.
  • Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
  • Demonstrated ability to handle confidential and sensitive information with discretion.
  • Excellent verbal and written communication skills.
  • Must have experience: Handling multiple tasks and priorities, working independently with little direction, managing confidential information
