Job Description
A Transmission Material Analyst with knowledge of transmission materials or the ability to quickly learn plays a pivotal role in supporting Transmission Capital projects within Supply Chain by coordinating, creating Purchase Requisition, and expediting the materials required for transmission construction to ensure the right items are available at the right time and location.
Duration: 2 years
Key Responsibilities:
- Invoice, Contract & Financial Oversight Support (backup to the Transmission Analyst)
- Back up the Transmission Analyst during absences and peak volume by performing first-pass review of contractor invoices and work authorizations against contract terms, scope, and funding limits.
- Flag discrepancies to the Transmission Analyst and oversight personnel for review and resolution. -
- Help maintain spend tracking against contract authorized amounts and individual project amounts. -
- Help maintain work authorization tracking and point out funding or scope concerns early.
Data Collection, Reporting & Metrics -
- Gather recurring firm availability updates (Physical and Control) before assignment discussions. -
- Pull routine metrics (final inspections, field change status, overdue items, QA discrepancy counts) into a standard report for supervisor and manager review. -
- Check contractor performance scorecard inputs before quarterly and annual review meetings.
Records Management & Communications -
- Maintain as-built and field change records, and confirm transmittals are captured correctly. -
- Send standard communications to contract firms, such as assignment offers, using approved templates.
Contractor Onboarding & Access Administration -
- Coordinate onboarding and offboarding for contract personnel: badge and network access requests, account setup, and confirming accounts are deactivated when a resource rolls off.
- Maintain the master roster of active contractor personnel by firm and discipline, including start and end dates and current assignments. -
- Track training, standards acknowledgments, and required qualifications for contract personnel, and follow up on outstanding items.
Meeting & Stakeholder Coordination -
- Schedule and coordinate meetings with contract firms and internal stakeholders as needed. -
- Manage the group calendar and look ahead to make sure meetings have the right people and are covered. -
- Coordinate logistics for team meetings, such as rooms, catering, and materials. -
- Take notes and capture action items at firm updates, oversight team meetings, and contractor performance reviews, then distribute them and track them to closure. -
- Keep standing agendas current and send prep materials ahead of meetings. -
- Make sure the right internal groups (project support, estimating, SPPM, construction) are included in recurring meetings and schedule reviews.
QUALIFICATIONS -
- Associate's degree in business, accounting, finance, or a related field preferred; equivalent relevant experience considered -
- 2+ years of experience in project support, invoice or contract administration, accounting, or business administration -
- Proficient in Excel, including pivot tables, plus Outlook, Teams, SharePoint, Word, and PowerPoint -
- Experience with enterprise financial or work management systems (e.g., Maximo, Oracle, SAP) preferred; familiarity with CAMP or MOBI a plus -
- Strong attention to detail when reconciling invoices, hours, and dollars against contract documents -
- Strong organizational skills and the ability to manage multiple deadlines and recurring cycles -
- Clear, professional written and verbal communication with internal staff and outside firms
Physical Requirements
- Office-based role.
- Mainly computer work and sitting for long periods.
- No lifting, climbing, ladder work, or uneven surfaces required.
- Work Environment Office setting at the Forest Park, GA location.
- Temperature-controlled indoor work. [Onsite 4 days per week.]
