Job Description
Job Title and Overview
The Compliance Specialist is responsible for developing, implementing, and overseeing HUD and Low Income Housing Tax Credit compliance programs to ensure adherence to relevant laws, regulations, and internal policies. This role plays a crucial part in mitigating risks, maintaining ethical practices, and safeguarding the company's reputation. The Compliance Specialist collaborates with cross-functional teams, conducts audits, and provides guidance on compliance matters to support the overall success of the property management company.
Development & Implementation
- Implement comprehensive compliance programs, policies, and procedures that align with applicable laws, regulations, and industry standards.
- Stay current with changes in relevant legislation and relay to staff.
Compliance Audits & Assessments
- Conduct regular audits and assessments to evaluate the effectiveness of compliance controls and identify areas for improvement and send to the Director of Compliance.
- Prepare for HUD, OHFA, and other compliance reviews and audits. Send to the Director of Compliance for review.
Compliance Training
- Ensure that employees understand their role in maintaining compliance.
- Obtain and/or maintain appropriate industry certifications such as Certified Occupancy Specialist.
Monitor & Report Compliance Metrics
- Establish key performance indicators (KPIs) to measure and monitor compliance levels.
Investigate & Resolve Compliance Issues
- Investigate reported or suspected compliance violations.
- Collaborate with relevant departments to address and resolve compliance issues promptly.
- Go to properties to review files as needed.
Risk Assessment & Mitigation
- Conduct risk assessments to identify potential compliance risks and develop strategies to mitigate them.
- Collaborate with Director of Compliance to integrate compliance considerations into business processes.
Stay Informed of Industry Trends
- Stay informed about industry’s best practices, emerging trends, and changes in the regulatory landscape.
- Provide recommendations for adapting compliance programs to address evolving challenges.
- Register with various agencies to receive updates.
Software & Integrations
- Compliance Professionals should actively utilize the provided software to enhance their effectiveness and are required to keep data up to date to provide seamless integrations and to participate in keeping platforms up to date and best employed.
- Compliance Professionals are required to participate in the use of Sawmill Road Management Companies multiple platforms and integrations including but not limited to
o AppFolio
o DevCo
o OHFA Inspect
o AHTA
o Trainual
o Dropbox
Promote a Culture of Ethics & Compliance
- Foster a culture of ethical behavior and compliance awareness throughout the organization.
- Encourage employees to report concerns and provide mechanisms for confidential reporting.
Office Responsibilities
- Keeps files organized neatly and accurately in collaboration with Property Management Professionals.
Working Conditions Details
- Hours of work: This is a full-time position. Office hours are 8:00 a.m. to 5:00 p.m. Hours may be changed as needed.
- Overtime expectations: Employees may be requested to work overtime on an as needed basis. Non-exempt employees must have overtime pre-approved by their supervisor.
- Work Location: SRMC Corporate Office
- Travel requirements: Compliance Professionals may be asked to travel for company events and all staff meetings.
- On-call responsibilities: On-call responsibilities are limited, as needed.
- Training Requirements: Compliance Professionals are required to go through onboarding training to review company policies and software demonstrations. Yearly training such as Fair Housing is required, along with learning paths tailored to the Professional’s role.
- Salary is commensurate with industry experience.
