Overview
The Client Relations Coordinator serves as a key point of contact for prospective and existing clients, ensuring responsive, professional, and high-quality client experience. This role supports client intake, assignment coordination, relationship management, and business development initiatives. The ideal candidate is highly organized, detail-oriented, customer-focused, and thrives in a fast-paced environment while maintaining strong communication and service standards.
The Client Relations Coordinator works closely with our experts, internal teams, clients, and external partners to support client needs, keep accurate records, and contribute to the growth of the organization.
Essential Job Functions
- Provide exceptional service and support to prospective and existing clients through phone, email, and other communication channels.
- Respond promptly to client inquiries and assist with assigning incoming matters to appropriate internal teams or experts.
- Support client onboarding and ensure accurate collection and entry of client and assignment information.
- Maintain client records, assignment tracking, and activity updates within company databases.
- Collaborate with internal departments to ensure seamless execution of client service activities.
- Assist in collecting and organizing performance metrics and operational data for reporting purposes.
- Identify opportunities to improve client experience and internal processes.
- Maintain confidentiality of client information and company business matters.
- Support business development and marketing initiatives, such as client events, webinars, and outreach, and perform other client service and administrative duties as assigned.
Requirements
Required Education and Professional Certifications
- Associate or bachelor's degree preferred; equivalent education and experience may be considered.
- 3+ years of experience in client services, customer service, sales support, business development, hospitality, account management, or a related field preferred.
- Proficient using Microsoft Office applications.
- Experience with database management and/or client management systems preferred.
- Experience handling inbound client inquiries, coordinating with internal experts, managing client onboarding, and maintaining ongoing client relationships.
- Eligible to work in the United States.
Physical Demands, Overtime, and Travel Requirements
- Physical Demands - Able to lift or move up to 25 pounds.
- Overtime - Available for overtime when needed.
Travel Requirements – Minimal travel within the greater metropolitan area of the assigned district office.
