Job Description
Addison Group is seeking an experienced Executive Assistant to support a senior executive within a fast-paced healthcare environment. This individual will oversee the daily administrative functions of the executive office, manage competing priorities, coordinate projects, and provide guidance to administrative support staff.
The ideal candidate is highly organized, discreet, proactive, and comfortable operating with a high level of independence. This person should be able to anticipate needs, manage a demanding executive calendar, resolve issues efficiently, and bring structure and consistency to a continually evolving environment.
Key Responsibilities
- Provide comprehensive administrative support to a senior executive, helping prioritize daily activities and determining which matters require immediate attention.
- Manage the executive’s calendar, appointments, communications, visitors, and other administrative needs.
- Coordinate and monitor multiple projects, ensuring deadlines, follow-ups, and deliverables remain on track.
- Provide direction, training, and day-to-day guidance to administrative and support personnel within the executive office.
- Coordinate the activities of students, volunteers, and other temporary or support staff as needed.
- Assist with implementing and communicating administrative procedures, policies, and office processes.
- Review employee time and attendance records, identify discrepancies, and work with appropriate parties to resolve issues.
- Route requests, questions, and service needs to the appropriate executive, leader, or department for resolution.
- Handle sensitive and confidential information with a high degree of professionalism and discretion.
- Maintain organized electronic and physical filing systems, records, reports, spreadsheets, and other office documentation.
- Prepare correspondence, reports, worksheets, and other materials in support of executive priorities.
- Communicate information and action items to department leaders, work groups, and other stakeholders while monitoring follow-through.
- Identify potential issues or gaps, escalate matters appropriately, and provide updates to leadership when additional direction is needed.
- Support additional administrative projects and responsibilities as assigned.
Qualifications
- 5+ years of experience providing executive-level administrative support.
- Experience working in a healthcare or hospital environment is preferred.
- Bachelor’s degree preferred.
- Strong proficiency with Microsoft Office Suite.
- Familiarity with UKG, Lawson, and Google Forms is preferred.
- Exceptional organizational and time-management skills.
- Demonstrated ability to manage confidential and sensitive information.
- Professional maturity and sound judgment when working with senior leadership.
- Ability to independently prioritize multiple competing deadlines in a fast-paced environment.
- Proactive approach to identifying needs, solving problems, and improving administrative processes.
- Strong written and verbal communication skills.
- Ability to work effectively with executives, department leaders, administrative staff, and cross-functional teams.
- Comfortable creating processes, procedures, and systems that improve consistency and efficiency.
Additional Details
- Contract assignment expected to run through January 2027.
- Position is fully onsite in Washington, DC.
- 40-hour work week.
- Executive office hours are generally 8:00 a.m.–5:00 p.m., with rotating coverage among the Executive Assistant team.
- Overtime requires prior supervisor approval.
- Interviews will include a virtual meeting followed by an onsite interview with the administrative team.
- Target start date is ASAP, following completion of required pre-employment processes.
