We are looking for an organized and experienced Executive Assistant to provide high-level support to senior leadership. This role is ideal for someone who excels at keeping priorities on track, communicating effectively with a wide range of stakeholders, and managing sensitive information with sound judgment. The position offers the opportunity to contribute across executive coordination, communications, event support, and day-to-day business operations.


Responsibilities:

• Oversee complex executive schedules by arranging appointments, resolving conflicts, and coordinating travel plans and related logistics.

• Prepare and organize meetings from start to finish, including scheduling participants, developing agendas, assembling materials, and documenting next steps.

• Create, revise, and distribute business documents such as presentations, reports, correspondence, and briefing materials with a high level of accuracy.

• Monitor action items, incoming requests, and key deadlines to ensure commitments are completed on time and follow-up is maintained.

• Provide coordination support for internal and external activities, including training sessions, webinars, events, and other scheduled programs.

• Develop and send communications for clients, members, and organizational audiences in a clear, thorough, and timely manner.

• Maintain website content for organizational platforms, ensuring information is current, accurate, and aligned with communication goals.

• Manage LinkedIn activity by drafting posts, organizing publishing schedules, coordinating approvals, and posting content to support visibility and engagement.

• Assist with routine operational tasks such as expense processing, invoice coordination, vendor communication, and administrative business support.

• Contribute to special initiatives while handling confidential information with discretion and care.

• At least 2 years of experience in executive support, administration, communications, events, business services, associations, or a related area.
• Demonstrated experience providing direct support to executives or senior leaders in a fast-paced environment.
• Excellent verbal and written communication skills with the ability to produce high-quality business materials.
• Strong organizational ability and close attention to detail when managing multiple tasks and deadlines.
• Sound judgment, discretion, and a dependable approach to follow-through on sensitive or high-priority matters.
• Proficiency with Microsoft Outlook, Word, PowerPoint, Excel, Teams, Zoom, and comparable office technology.
• Ability to adapt to shifting priorities while maintaining composure and a respectful approach.
• Confidence interacting with executives, clients, vendors, and external partners in a business setting.
