We are looking for an experienced Executive Assistant to provide dedicated support to senior leadership in Massachusetts. This contract-to-permanent opportunity is ideal for a highly organized individual who can manage sensitive information, coordinate executive priorities, and keep daily operations running smoothly. The role combines high-level administrative support, internal communication coordination, and event planning in a fast-paced environment.
Responsibilities:
• Provide direct executive support to senior leadership through preparation of correspondence, reports, and a wide range of internal business documents.
• Manage schedules, meeting logistics, and travel arrangements to ensure leadership calendars and priorities are organized effectively.
• Create well-designed spreadsheets, presentations, charts, and other detailed materials to support leadership initiatives and decision-making.
• Compile and organize recurring leadership updates, including materials needed for finance-related reporting and board-level meetings.
• Develop and distribute internal communications on behalf of executive leadership with a high degree of accuracy and care.
• Offer administrative, clerical, and project coordination assistance to the broader leadership team as needed.
• Oversee front desk and reception workflows to help maintain an efficient office experience.
• Coordinate company and board events by securing venues, arranging catering, preparing materials, organizing support, and assisting on-site during execution.
• Support fundraising efforts by helping plan and carry out events and strategies that advance organizational goals.• Demonstrated experience supporting senior executives in a high-level administrative or executive assistant capacity.
• Strong calendar management skills with the ability to coordinate meetings, schedules, and shifting priorities.
• Proven ability to arrange business travel and manage related logistics with attention to detail.
• Advanced proficiency in preparing documents, spreadsheets, and presentation materials.
• Ability to handle confidential information with discretion and sound judgment.
• Strong communication and organizational skills, with the ability to manage multiple tasks independently.
• Experience supporting executive meetings, board-related activities, or leadership reporting processes.
